PAYE Rate: £12.71 per hour

Umbrella Rate: £16.54 per hour

Role Overview

We are looking for a professional, confident and customer-focused Receptionist / Facilities Coordinator to join a corporate head office environment in Newport. As the first point of contact for employees, visitors and guests, you will play a key role in creating a welcoming and professional experience. Alongside front-of-house responsibilities, you will support the coordination of the building's facilities, helping to ensure the workplace is maintained and operated to an excellent standard.

Key Responsibilities

  • Act as the first point of contact for employees, visitors and guests.
  • Answer incoming telephone calls and provide accurate information and assistance.
  • Deliver a professional, friendly and high-quality front-of-house service.
  • Welcome and assist visitors, contractors and employees.
  • Coordinate meeting rooms and manage room bookings effectively.
  • Manage multiple calendars and ensure meeting spaces are available and appropriately prepared.
  • Support the day-to-day coordination of building facilities.
  • Liaise with suppliers, contractors and internal teams where required.
  • Help ensure the commercial building is maintained to a high standard.
  • Respond to queries and resolve issues efficiently and professionally.
  • Carry out a range of administrative duties using Microsoft Office and other internal systems.
  • Maintain accurate records and ensure tasks are completed within required timescales.
  • Work collaboratively with colleagues while also using your own initiative.

Essential Skills & Experience

  • Strong experience within a customer service environment, such as reception, front desk, concierge, hospitality, room management or similar.
  • Excellent verbal and written communication skills, with the confidence to communicate effectively with individuals, departments and larger groups.
  • Strong organisational and time-management skills.
  • Excellent attention to detail and the ability to manage multiple priorities.
  • Confident and professional manner with the ability to represent a corporate organisation effectively.
  • Strong problem-solving skills and the ability to respond appropriately to a variety of situations.
  • Good IT skills, including experience with Microsoft Word, Excel and Outlook.
  • Ability and willingness to learn new software, systems and processes.
  • A customer-focused and service-oriented approach.
  • Ability to build positive relationships, remember names and recognise individuals.
  • Ability to deliver a consistently high standard of service within a corporate head office environment.
  • Strong team-player who is also able to work independently and use initiative.

Desirable Skills & Experience

  • Previous experience in facilities management or facilities coordination.
  • Experience working with suppliers, contractors or external service providers.
  • Previous experience of managing or coordinating people.
  • Experience managing multiple calendars and meeting-room bookings.
  • Strong interpersonal and relationship-building skills.
  • Previous experience within a corporate or professional office environment.
  • Ability to create a welcoming, professional and well-organised reception environment.
  • Experience managing multiple administrative tasks simultaneously.
