We are seeking a dedicated and organized School Administrator to join the front-office team of a vibrant primary academy. In this role, you are the "engine room" of the school—the first point of contact for parents and the essential support system that allows our teaching staff to focus on what they do best: educating our children.
The Role & Department
You will work as part of a close-knit administrative team, reporting directly to the School Business Manager. The school office is a fast-paced environment where priorities can shift in a moment; you will need to balance scheduled data tasks with the immediate needs of pupils, parents, and visitors. This role is ideal for someone who thrives on variety, from managing school attendance records to coordinating the logistics of a school trip. We pride ourselves on an "open-door" culture, where the administration team plays a central role in the pastoral care of our school community.
Core Responsibilities
- Front-of-House Excellence: Welcoming visitors, managing a busy switchboard, and acting as a professional ambassador for the school when dealing with parental inquiries.
- Attendance Management: Monitoring daily attendance, contacting parents regarding unexplained absences, and producing weekly reports for the Senior Leadership Team using the school’s MIS (Management Information System).
- Pupil Data & Records: Maintaining accurate electronic and paper student files, ensuring all information—from medical alerts to emergency contacts—is strictly up-to-date and GDPR compliant.
- Financial Support: Assisting with the processing of school dinner payments, uniform orders, and managing the "ParentPay" system or similar digital payment platforms.
- General Administration: Managing incoming/outgoing post, drafting school newsletters, and providing clerical support to the Headteacher as required.
The Successful Candidate
We are looking for a highly organized individual with a warm and professional manner. Requirements include:
- Administrative Experience: Previous experience in a school office or a high-volume administrative environment is highly desirable.
- Technical Proficiency: Strong skills in Microsoft Office (Word and Excel) and, ideally, experience with school software such as SIMS, Arbor, or Bromcom.
- Communication Skills: The ability to communicate clearly and empathetically with children, parents, and external agencies (such as social services or health professionals).
- Multi-tasking: A calm demeanour under pressure and the ability to manage competing deadlines with a high degree of accuracy.
