Key Responsibilities

  • Responsible for the ad hoc scheduling and facilitation of offshore personnel crew changes.
  • Selection and allocation of suitable personnel in liaison with the Project Managers of offshore personnel.
  • Facilitate Visa requirements, with external providers.
  • Liaise with internal Travel Coordinator to schedule flight arrangements, accommodation and organising any other logistical requirements.
  • Track all personnel movements for project mobilisation and crew changes, keep all personnel notified of mobilisation dates, rotations, base working, and training days.
  • Deal with any associated payroll queries and re-directing queries as necessary.
  • Assist Project Managers in ensuring the efficient delivery of projects.
  • When required, assist with the Organisation of PPE and kit requirements for offshore personnel.
  • Prepare project assignment notes, travel letters and any other travel or project information.
  • Assist with the preparation of regular monthly invoices.
  • Coordinate project and client specific personnel certification e.g., medicals and safety training, with the HR & Training and competence team.
  • Support and apply for any client required documentation - i.e., LOI's etc.
  • Participate in the department & emergency on-call response rota.
  • Any other support required within the operations team.

Essential

  • Experience of contributing to a team and delivery against schedule driven targets and deadlines.
  • Previous experience of a service company culture.
  • Competent in Microsoft Office.
  • Able to handle multiple assignments simultaneously and meet deadlines.
  • Excellent communication skills - oral and written.
  • Ability to convey a positive and professional image to onshore/offshore personnel and senior management.
  • Ability to effectively establish positive working relationships with onshore/offshore personnel and senior management.
  • Ability to work as part of a team.
  • Highly organised and efficient with attention to detail.
  • Honest, trustworthy, and discreet.
  • A 'can do' positive attitude, with a focus on delivery.

Desirable

  • Previous experience in a similar role.
  • Previous experience in visa and travel.
  • Experience of dealing with ad hoc offshore work.
  • Previous Client Interfacing experience.
  • Experience with onboard tracker would be advantageous.
