Position Overview
The Student AI Project / Program Coordinator supports the Director of Program Management in driving organizational AI adoption, culture change, and volunteer engagement. You will play a key role in bringing the AI Champions program to life, coordinating activities that help 2,000+ employees develop AI literacy, confidence, and practical skills. This role is perfect for someone that is an amazing organizer, fabulous communicator, passionate about AI, and eager to learn how to scale adoption initiatives across a large organization. You will work across HR, communications, business leaders, and volunteer Champions to create momentum, remove roadblocks, and celebrate wins.
Key Responsibilities
- AI Champions Program Operations: Support the day‑to‑day running of the AI Champions program: manage the volunteer community (150+ Champions), coordinate onboarding, track participation, and maintain engagement. Prepare materials, manage communications (Slack, email, newsletters), and ensure Champions have the tools and resources they need to succeed.
- Adoption & Engagement Support: Coordinate adoption activities, micro‑learning sessions, and storytelling initiatives that encourage AI usage across the organization. Support event planning and execution, manage registrations, create follow‑up communications, and track participation metrics.
- Program Coordination & Documentation: Maintain program documentation, timelines, and progress tracking. Prepare monthly and quarterly status updates, manage project templates, and ensure clear communication across HR, communications, and business leaders. Support quarterly planning cycles and reporting to leadership.
- Community & Culture Building: Help create a positive, curious culture around AI by organizing recognition programs, sharing success stories and use cases from Champions, and fostering peer learning through knowledge‑sharing events and exchanges.
- Other tasks: Support any other tasks assigned to them, shift priorities and activities as required by the changing ecosystem.
Requirements
- Strong organizational and coordination skills with attention to detail, follow‑through, and ability to juggle multiple workstreams.
- Clear communicator who can explain concepts to diverse audiences (technical and non‑technical) and adapt messaging for different stakeholders.
- Genuine interest in AI and commitment to learning about AI capabilities, responsible use, and organizational adoption challenges.
- Positive and proactive, solution‑oriented mindset with ability to work independently and manage ambiguity in a fast‑moving environment.
Nice‑to‑Have
- Experience with HR, Learning & Development, or internal communications functions.
- Familiarity with Agile methodologies or sprint‑based planning.
- Background in change management, adoption, or organizational effectiveness.
- Experience supporting program operations such as planning cycles, budget tracking, or KPI reporting.
- Knowledge of AI/ML concepts, responsible AI, or governance frameworks.
- Certification in Project Management (PMI Associate or equivalent) OR 2+ years of experience managing projects/ programs, or volunteer‑led initiatives.
- Experience engaging, motivating, and supporting volunteers or community members (e.g., event coordination, community management, HR support).
- Comfort with tools like Jira, Confluence, Asana, or similar project management and collaboration platforms.
Eligibility Note
Eligibility for this role requires compliance with all legal and administrative obligations related to work‑study arrangements. You must be enrolled at a university and able to provide supporting documentation upon request.
