About the Role

We are seeking a highly organised and proactive Administrative Assistant to join our busy school office team. This is a key role at the heart of the school, supporting daily operations and ensuring smooth communication between staff, students, and parents.

The ideal candidate will have proven experience using the Arbor Management Information System (MIS) and a strong understanding of school administrative processes.

Key Responsibilities

  • Daily Office Operations
    • Act as the first point of contact for parents, visitors, and pupils, ensuring all safeguarding and sign-in procedures are followed.
    • Answer and direct phone calls, respond to emails, and manage general enquiries promptly and professionally.
    • Monitor the school inbox and ensure messages are passed to relevant staff members.
    • Maintain a tidy, organised, and welcoming reception area.
  • Arbor MIS & Data Management
    • Record and update student data, including admissions, leavers, contact details, and medical information.
    • Take and monitor daily attendance, including late arrivals and absences, and follow up on unexplained absences.
    • Generate attendance reports and support interventions for persistent absence.
    • Log behaviour incidents, detentions, and communications on Arbor.
    • Produce reports for staff and leadership using Arbor data tools.
  • Attendance & Safeguarding
    • Contact parents/carers regarding pupil absence and maintain accurate communication logs.
    • Escalate safeguarding concerns in line with school policies.
    • Support the safeguarding team with record-keeping and documentation.
    • Always ensure compliance with GDPR and data protection policies.
  • Admissions & Student Administration
    • Support the admissions process, including managing applications, arranging school tours, and onboarding new pupils.
    • Prepare and maintain pupil files (digital and/or paper-based).
    • Coordinate student records transfers (CTFs) when pupils join or leave.
  • Staff & Leadership Support
    • Provide administrative support to senior leaders and teaching staff.
    • Prepare letters, reports, and school communications.
    • Assist with timetable updates, room bookings, and calendar management.
    • Support the organisation of school events, parents’ evenings, and trips.
  • Finance & General Administration
    • Process payments, trip contributions, and basic finance tasks where required.
    • Manage stock and order office supplies.
    • Handle incoming and outgoing post.
    • Maintain filing systems (electronic and physical).

Essential Requirements

  • Previous experience working in a school office environment.
  • Strong working knowledge of Arbor MIS.
  • Excellent organisational and time management skills.
  • High level of accuracy and attention to detail.
  • Strong communication and interpersonal skills.
  • Ability to manage confidential information appropriately.
  • Proficiency in Microsoft Office (Word, Excel, Outlook).

Desirable Skills

  • Experience with safeguarding and attendance procedures.
  • Familiarity with other school systems and databases.
  • First aid qualification (or willingness to train).
