The Administrative Assistant provides comprehensive administrative and operational support to ensure the smooth and efficient running of the site. This role is responsible for coordinating meeting and conference room logistics, managing visitor and contractor processes, supporting purchasing and invoice reconciliation, and maintaining key administrative records. The position requires strong organisational skills, attention to detail, and the ability to manage multiple activities simultaneously in a dynamic environment. This is a part time role for a requirement to be in office with flexibility in the hours of work.
Job Requirements- Administrative Support: Perform general administrative tasks, including document management, filing, and correspondence. Act as minute taker for plant and safety committee meetings. Maintain and update training records for staff. Manage the work badge log and support worked hours reporting. Organise and manage the site post room, including incoming and outgoing mail. Assist with site reporting through email, posters and intranet. Support site communication on results, events and notices. Support local community activities and act as company ambassador. Support site calendar of events as participant of plant committee. Other reasonable tasks as required.
- Meeting & Facility Coordination: Arrange site meetings and visitor agendas. Organise and maintain the meeting rooms and conference rooms to a professional standard. Coordinate room bookings, required equipment, and room setup. Arrange and manage catering and lunches for meetings and events.
- Visitor, Contractor, and Site Control: Manage the check-in and check-out process for visitors and contractors. Ensure proper documentation, security requirements, and access controls are followed. Serve as a point of contact for on-site queries.
- Procurement & Financial Administration: Raise purchase orders for consumables and ad hoc site requirements. Monitor and reconcile invoices related to site purchases and services. Maintain stock levels of PPE and ensure availability of required supplies.
- Education: GCSE English & Maths
- Experience: Prior experience in an administrative, office coordinator, or facilities support role. Ideally experience in a plant, operations, or manufacturing environment. Familiarity with purchasing systems, invoice processing, or visitor management tools.
- Essential Knowledge And Skills: Strong organisational and multitasking abilities. Excellent communication and interpersonal skills. High level of accuracy and attention to detail. Ability to work independently and as part of a team. Professional, proactive, and customer-focused attitude.
- Desirable Knowledge and Skills: Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint). Experience of manufacturing facilities.
