Responsibilities
- Manage diaries for the Le Boat Managing Director and Executive Team, maintaining up-to-date calendars of meetings and deadlines, resolving conflicts and ensuring everyone is fully prepared.
- Schedule company-wide, departmental and team meetings as required, ensuring they are arranged efficiently and in good time.
- Proactively prepare meeting documents and agendas, and follow up on action points as required.
- Liaise with international colleagues to ensure appropriate attendance at meetings, events and conferences.
This may occasionally require working outside core hours, including weekends or UK bank holidays.
- Lead the organisation of two major annual conferences for our Operations and Distribution teams, held in international locations, including travelling to and attending the events to ensure their smooth running.
- Proactively coordinate domestic and international travel itineraries, balancing time efficiency with cost-effectiveness.
- Collate, prepare and submit expense reports on behalf of Executive Team members.
- Track annual leave requests for the Executive Team, securing Managing Director approval and highlighting any potential conflicts.
- Lead the creation and distribution of the monthly Le Boat internal newsletter, ensuring engaging and relevant content for our global employee base.
- Support with HR administration, including contracts and HRIS updates.
- Collaborate with other Executive Assistants across Travelopia to promote efficiency and effective cross-functional working.
- Support the preparation and delivery of presentations.
- Provide additional ad hoc administrative support to the Executive Team as required.
Requirements
- Previous experience as a Personal Assistant, Executive Assistant, or in an events-related role.
- A high level of discretion and the ability to maintain absolute confidentiality.
- Fluency in English, both written and spoken; French language skills are an advantage but not essential.
- Excellent knowledge of Microsoft Office, with the ability and willingness to use AI tools such as Microsoft Copilot to improve efficiency and productivity.
- Excellent organisational and communication skills.
- Confidence working with colleagues at all levels, including the Travelopia CEO.
- Strong prioritisation and time-management skills.
- Flexibility and strong problem-solving skills, particularly when working under pressure and to tight deadlines.
- Exceptional attention to detail and a commitment to delivering high-quality work.
- A confident and assertive approach.
