The role of the Global Creative Traffic Coordinator is to manage all incoming work requests to the Global Design Desk and ensure that all design/creative projects flow efficiently between the design team production.
They will be embedded into our Global Design team and be responsible for providing a seamless foundation of team administration that allows the design team to function. They will work closely with the Senior Art Director, allocating daily internal tasks and organizing the fundamental parts of the day-to-day running of the team. They will be the first point of contact for day-to-day requests to the desk by managing the Global Inbox.
The Creative Traffic Coordinator will be proactive in responding to the requests of internal clients, ensuring that deadlines and expectations are met with a high-level quality output.
Responsibilities
- Managing the Global mailbox, receiving design requests and booking in resource.
- Answers queries or makes sure team members provide answers, depending on knowledge needed.
- Prioritizing and re-prioritizing projects based on staffing needs.
- Runs weekly Global team check-in calls.
- Building and managing the team Monday.com boards.
- Ensure the Design briefing template is sent out for any requests, filling these accordingly.
- Folder and asset management – Building new folders for each new job request.
- Work across our international offices, managing project timelines in accordance with different time zones.
- Balances the need to keep clients happy with giving the team enough time to create work to the highest quality.
- Plan and map out coverage for annual leave.
- Alerts leadership to potential work ‘hotspots’ e.g. multiple pitch deadlines and advises if extra resource is needed.
- Has an in-depth knowledge of designers’ ability and works with the Senior Art Director to ensure the team’s skills are future-proofed.
- Help to establish detailed schedules and set deadlines for various stages of a project, while providing oversight throughout the lifecycle.
- Meet with internal stakeholders to learn more about new project details and give progress updates on existing projects, communicating any issues.
- Work across multiple projects and build effective relationships with key people within the business on how to work with the Global Design Desk.
- Works with senior management to provide design quotes for paid client engagements.
- Alerts senior management of potential work ‘hotspots’ e.g. multiple pitch deadlines and advises if extra resource is needed.

Skills and Experience
- Around 4-7 years’ experience in creative operations and job tracking in advertising, PR, or consumer agency.
- Proficiency in traffic/project management software, data analysis, and streamlining processes.
- Skilled in Microsoft applications, experience in Adobe Creative Cloud is a plus.
- Proofreading.
- Ability to problem solve, plan, and prioritize.
- Must be able to identify and define problems, extract key information from briefs, and develop workable solutions.
