We are looking for a proactive and highly organised Secretary / Administrator to join our team and provide essential administrative support to the Project Manager and wider project team for a project based in Diss. This is a key role for someone who thrives in a busy environment, enjoys supporting others, and brings confidence, strong communication, and exceptional organisational skills to their work. This position is ideal for someone who enjoys variety, takes ownership of their tasks, and plays a pivotal role in keeping the project running smoothly.

Duties

  • Maintain office facilities, supplies and consumables in an organised and efficient manner.
  • Support the site team by preparing correspondence, reports and documentation.
  • Organise meetings, including room booking, refreshments, agendas and the distribution of papers.
  • Take accurate minutes during meetings, transcribe them and return them promptly to the meeting chair.
  • Sort, file, copy and distribute correspondence as requested by the team.
  • Ensure project paperwork is filed and maintained in an organised, accessible manner.
  • Manage diary schedules and appointments for managers as required.
  • Arrange travel and accommodation using VINCI’s approved booking systems and travel policy.
  • Support the team using VINCI IT systems, including the IT Portal.
  • Contribute to delivering objectives within the Taylor Woodrow Carbon Strategy through your day‑to‑day activities.
