Job Summary
To operate the Taylor Wimpey Business Unit’s switchboard ensuring all calls are answered promptly, queries dealt with wherever possible and efficiently directed to the correct person when appropriate. Based in the Business Unit’s reception area to greet all customers/suppliers/visitors. To provide administrative support to the Production Secretary, Finance Department and other internal office staff when required and carry out all administrative duties as requested.
Primary Responsibilities
- Handle Phones and Console Management
- Answer the telephone in a professional and courteous manner as quickly as possible.
- Determine the purpose of calls and forward to the appropriate person/Department or interact with the caller on behalf of Taylor Wimpey.
- Take accurate messages from clients when necessary and deliver these messages to the appropriate person in a timely manner.
- Maintain the abbreviated dialling system and assist with the directory and ‘phone system.
- Welcome on-site visitors, logging them in and out of the Regional Office, always ensuring that Company Health & Safety/Security Policies & Procedures are complied with.
- Determine the nature of the business and announce visitors to the appropriate person/Department.
- Receive and distribute mail/parcels as they arrive.
- Franking outgoing mail when required.
- Assist in monitoring the franking machine supplies and payment top up.
- Assist Executive Secretary and Departments as and when required.
- Control meeting room diaries.
- Receive goods/services into reception, notifying individuals of delivery – keeping reception area clear at all times.
- Type up standard letters and forms when requested.
- Ensure all staff log in and out of office using company logging in and out systems in place at the time.
- Order the stationery for the office and all departments.
- Maintain staff and site contact details, updating monthly or as necessary (i.e. staff listings, telephone lists etc).
- Provide essential cover when other part-time receptionist is on holiday or during any absence.
- Organise own holiday cover in advance, liaising with Executive Secretary and other part-time receptionist.
- Provide switchboard training to fellow employees, if necessary.
- Arrange couriers.

- Ideally receptionist background.
- Strong administration experience.
- Used to working within a fast paced & pressurised office.
