Facilities Coordinator

This is an excellent opportunity for a proactive facilities professional to take ownership of a busy distribution centre, ensuring the site is safe, compliant, secure and maintained to a high standard.

The successful candidate will work closely with senior management and external contractors to deliver an efficient facilities function while supporting operational excellence.

The Role

As Facilities Coordinator, you will be responsible for the day-to-day management and maintenance of a large distribution site.

You will coordinate planned and reactive maintenance, oversee contractor performance, maintain statutory compliance and ensure the premises remain safe, clean and operational.

This role would suit someone who enjoys a hands-on approach, is highly organised and has experience managing facilities within a warehouse, logistics or industrial environment.

Key Responsibilities

  • Manage the day-to-day upkeep of the distribution centre, ensuring the site remains safe, secure, compliant and well presented.
  • Act as the main point of contact for all facilities-related matters.
  • Coordinate planned preventative maintenance and reactive repairs.
  • Manage external contractors, ensuring all documentation, including RAMS, permits to work and insurance certificates, are in place before work commences.
  • Carry out regular site inspections, identifying maintenance requirements, safety concerns and opportunities for continuous improvement.
  • Maintain accurate compliance and maintenance records for audits and statutory inspections.

• Coordinate routine compliance activities including

  • Fire alarm testing
  • Emergency lighting inspections
  • Sprinkler system checks
  • Legionella monitoring
  • PAT testing
  • Other statutory compliance requirements
  • Promote health and safety best practice by identifying hazards, reporting incidents and supporting risk assessments.
  • Monitor the condition of the building, grounds, car parks and external areas, ensuring they remain safe, accessible and well maintained.
  • Undertake minor maintenance and repair work where appropriate, coordinating specialist contractors for larger projects.
  • Support environmental initiatives including recycling, waste management, energy monitoring and sustainability projects.
  • Raise purchase orders and assist with managing facilities budgets to ensure value for money.
  • Respond to facilities emergencies and operational issues, including occasional out-of-hours attendance where required.
  • Support continuous improvement and site development projects to enhance safety, efficiency and the working environment.

About You

We're looking for someone with

  • A minimum of 3 years' experience in facilities, building maintenance or property services.
  • Good knowledge of UK Health & Safety legislation and contractor management.
  • Experience coordinating planned preventative maintenance and reactive maintenance activities.
  • Strong administrative, IT and record-keeping skills.
  • Practical handyman or maintenance experience with the ability to carry out minor repairs.
  • Excellent communication and stakeholder management skills.
  • The ability to prioritise workloads and work independently.
  • A proactive, hands-on approach with strong problem-solving skills.
