We are recruiting an enthusiastic Contractor Coordinator to join our highly successful team in our Glasgow Head Office, who will manage the mobilisations of our offshore wind contractors. This individual will further strengthen our professional team in supporting the expansion of an intelligent and comprehensive contract recruitment service to our renewable energy and clean technology clients.

Responsibilities

  • Monitor and manage a shared mailbox, responding promptly to contractor queries, onboarding requests, joining instructions, and day-to-day support needs.
  • Coordinate domestic and international travel, accommodation, and mobilisation logistics, including work permits, visas, and immigration processes.
  • Prepare and issue contracts and offer letters, and manage amendments and associated queries throughout the contractor lifecycle.
  • Oversee contractor rotas, ensuring schedules are accurate and communicated effectively to both contractors and clients.
  • Ensure ongoing compliance with relevant legislation, including IR35, immigration requirements, and company policies.
  • Collect, review, and verify contractor certifications and insurance documentation, maintaining accurate records within the CRM system and sharing with stakeholders as required.
  • Liaise regularly with clients via telephone and MS Teams to ensure contractual obligations and service expectations are met.
  • Review and process contractor timesheets and expenses using payroll and timesheet systems.
  • Maintain and update CRM systems and client portals, ensuring all contractor and company data is accurate and up to date.
  • Provide ad hoc support to management, consultants, and compliance teams on projects and operational activities.
  • Participate in an on-call support rota on a 1-in-7-week basis.

About You

  • Highly organised, flexible, and confident, with the ability to manage multiple priorities effectively under pressure.
  • Previous experience in a contracts, crewing, or personnel coordination role preferred; however, candidates with strong administrative or high-volume coordination experience will also be considered.
  • Excellent communication and stakeholder management skills, including a professional telephone manner and strong attention to detail.
  • Proactive and solution-focused, with the ability to follow tasks through to completion, solve problems calmly, and contribute to continuous business improvement.
  • Strong MS Office skills and the ability to produce accurate, professional documentation within a fast-paced, growing business environment.
