We are seeking an organised and proactive Site Administrator to support the successful delivery and operation of a major industrial process plant project. Working closely with the Site Manager, Project Management team, and wider construction and engineering personnel, you will play a key role in ensuring the efficient day-to-day administration of the site.
This position requires a highly organised individual capable of managing multiple priorities, maintaining accurate records, coordinating site documentation, and providing administrative support across construction, commissioning, and operational activities.
Key Responsibilities- Provide administrative support to the Site Manager and project team.
- Maintain and control site documentation, records, registers, and filing systems.
- Manage document distribution and ensure the latest revisions are issued to relevant stakeholders.
- Coordinate site inductions, onboarding activities, and training records for employees and contractors.
- Maintain attendance records, timesheets, holiday tracking, and workforce registers.
- Support procurement activities, including purchase orders, delivery tracking, and supplier coordination.
- Organise meetings, prepare agendas, record minutes, and distribute actions.
- Manage site correspondence, incoming calls, emails, and visitor arrangements.
- Support HSE initiatives through maintaining training records, permits, certifications, and compliance documentation.
- Assist with reporting requirements, including weekly and monthly project reports.
- Support commissioning and operational teams with administrative requirements during project handover phases.
- Previous experience in a Site Administrator, Project Administrator, Construction Administrator, Document Controller, or similar role.
- Experience working within industrial, engineering, construction, infrastructure, utilities, or process plant environments.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Strong communication and interpersonal skills.
- Ability to work independently while supporting a multidisciplinary site team.
- Experience using document management systems and electronic filing platforms.
- Knowledge of HSE documentation and site compliance processes.
