Bid & Marketing Coordinator
Due to continued growth we have an exciting opportunity for a Bid & Marketing Coordinator, based in our Belfast office.
Key Responsibilities:
Bid Coordination
- Lead the coordination of tender submissions from opportunity identification through to final submission.
- Act as the central point of coordination between technical staff, management and external contributors.
- Monitor submission platforms (eTenders, portals, etc.) and apply compliance checks prior to final upload.
- Develop and manage bid programmes, deadlines, and deliverables across multiple concurrent submissions.
- Review tender documentation and extract key requirements, compliance criteria, and deliverables.
- Organise internal bid kick-off meetings, progress reviews, and submission sign-off processes.
- Prepare, edit, and format non-technical quality responses (e.g. methodology, project understanding, social value).
- Coordinate inputs from technical staff, ensuring responses are complete, consistent, and submitted on time.
- Ensure all submissions are clear, concise, and aligned with client requirements and scoring criteria.
- Proactively manage deadlines and follow up with contributors to maintain programme.
- Proofread and quality-check all documents for accuracy, consistency, and presentation standards.
- Maintain bid trackers, pipeline reporting, and bid performance metrics.
- Support continuous improvement through capture of feedback and refinement of submission responses.
- Maintain and develop a structured library of project experience, case studies, CVs and standard responses. Liaise with technical staff to add new project examples and keep existing database current and relevant.
Marketing
- Maintain company website and keep news stories, case studies and other key information updated on a regular basis.
- Manage and drive growth in the company's social media following through strategic content planning, audience engagement, and targeted campaigns.
- Prepare and develop Presentational Material as required, including Practice Brochures, Powerpoint Presentations etc.
- Assist senior management with the delivery of the business development strategy, ensuring efficient organisation, deadline management and high-quality outputs across marketing initiatives.
- Pro-active liaison with employees at all levels to ensure timely collection of all necessary documentation for marketing support materials; proofread, edit & format proposals and project sheets.
- Ensure all marketing outputs align with company branding.
- Support wider business development initiatives including award submissions, presentations and client-facing materials.
- Develop and maintain a structured library of all marketing material.
- Represent the Practice at industry events, exhibitions and networking opportunities where appropriate.
Criteria:
- Minimum 1 years' experience in bid coordination, tender submissions, or marketing/proposals within construction or similar administrative management roles.
- Enthusiastic, proactive and eager to learn.
- Strong organisational and task management skills, with the ability to manage multiple deadlines.
- Excellent verbal and written communication and editing skills (particularly for non-technical content).
- High attention to detail and strong document control capability.
- Proficient in Microsoft Office (Word, PowerPoint, Excel); experience with marketing material software or similar desirable.
- Knowledge of website management and search engine optimisation (SEO).
- Knowledge of how to manage social media channels, particularly LinkedIn.
- Familiarity with public sector procurement processes and tender portals desirable.
- Familiarity with the construction industry in Northern Ireland is desirable.
- Genuine interest in the built environment.
Hours:
This is a full-time position. 37.5 hours per week.
Salary:
Β£25-35k, subject to experience.
