We are recruiting for a practice administrator to join our friendly and busy practice team. Hours will be Mon-Fri, with an 8/8.30am start. Flexibility will be required to cover additional hours as necessary.
You should have previous secretarial/administration experience and excellent IT skills. Knowledge of Primary Care (or health organisations) and its IT systems (EMISweb/Docman) would be an advantage but full training is available. You will need good time management and organisation skills and be able to prioritise your workload, along with an understanding of, and commitment to, patient confidentiality. You should have the ability to use your own initiative but also be team orientated, with a flexible approach to your workload. Good written and oral communication skills are essential, along with a good sense of humour. You will be part of a friendly, enthusiastic team, which offers learning and development support at all times.
Main duties of the job include:
- Providing general administration and referrals support to the practice manager, deputy practice manager, doctors and health professionals, involving word processing skills with general administration work.
- Providing an efficient copy typing and word processing service for GPs and health professionals as required, including the typing and processing of letters, reports, patient referrals, minutes, memorandums, etc. in an accurate and quality manner.
- Assisting the practice team with all administrative duties, including patient registration management.
- Monitoring Quality and Outcomes Framework achievements and ensuring efficient utilisation of patient call and recall systems to achieve patient compliance and set targets.
- Assisting with the gathering of statistics and information when required.
About us: Belmont Medical Centre is situated just off the main A465 Abergavenny Road, in Eastholme Ave, Belmont. Our doctors, nurses and all other staff are dedicated to offering a professional healthcare service to approximately 8,900 patients. The team includes doctors, advanced nurse practitioners, nurses, healthcare assistants, physiotherapists and midwives, all supported by the reception and admin teams.
Job responsibilities include:
- Managing referrals to secondary care using the e-referral service.
- Making appointments, bookings and admissions as required, using manual and electronic software.
- Establishing and maintaining filing and administrative systems so that written or computer information is easily accessible and secure.
- Retrieving medical records and assisting the completion of medical/insurance reports.
- Receiving incoming and initiating outgoing telephone calls to facilitate timely and appropriate communications with others, taking messages and dealing with appropriate queries.
- Maintaining the computer clinic system in an accurate and secure manner.
- Receiving and dispatching mail and maintaining a pending system.
- Scanning letters and relevant correspondence into patients' notes.
- Extracting necessary data from clinical correspondence and inputting into Electronic Patient Record.
- Reading coding information into the practice clinical system.
- Providing cover for members of the administration team during periods of sickness and annual leave.
- Maintaining adequate supplies of office stationery in order to perform secretarial duties.
Person Specification:
- General education to GCSE level or equivalent compensatory experience.
- Sound working knowledge of Microsoft Office, including Word, Excel and Outlook.
- GCSE or equivalent English and Maths.
- Medical terminology qualification/experience.
- 2 years secretarial/admin experience or a relevant qualification.
- Experience of dealing with the public or patients.
- Working knowledge of EMIS GP clinical system.
- Good communication skills and well-developed interpersonal skills.
- Excellent telephone manner.
- Well organised and accurate approach to administrative work.
- Ability to cope under pressure and prioritise work on a daily basis.
- An understanding, acceptance and adherence to the need for strict confidentiality.
- Experience of working in a small team.
