World Class Defence Organisation based in Bolton is currently looking to recruit a HR Systems Administrator.

Rate: £24.16 per hour

Location: Bolton

Contract: 37 Hours per week

Overtime: Hours worked over 37 hours per week will be calculated at ‘time and a quarter’

Hybrid working: 3 days onsite, 2 days working from home

Duration: 9 Months (initially and then ongoing and long-term thereafter)

IR35 status: Inside IR35 (Umbrella)

Please note… The role doesn’t need specific HR experience - CIPD nice to have but not essential. Most of the role focused on HR systems, any experience of Workday would be fantastic – the role will be processing lifecycle changes for employees. Will be first point of contact for basic queries from managers and employees so must have good customer facing skills and problem solving for basic queries. Must have good attention to detail – will be responsible for document management and multiple systems need updating with docs – will be a data steward and must align with data protection regulations – familiarity around this helpful. Must be experienced working with data in Excel – ability to analyse, manipulate and visualise data (Pivot Tables/VLOOKUP etc). A good understanding of processes and policies is a bonus (HR experience would be useful here but not essential, just any process heavy environment). Will have some potential to look at process improvements, implementing best practice across multiple HR teams.

The HR Team are looking for a HR Administrator to join and support the HR Business Partnering teams to provide effective and efficient HR administration, covering employee queries, HR systems, data and document management. Working as part of a collaborative team, you’ll support a designated business area whilst contributing to continuous improvement, standardised processes and shared ways of working across the wider HR function.

The main role activities will be:

  • Act as the OneHR champion (the companies HR System) & main point of contact to answer queries and provide guidance on use of the tool to employees and managers.
  • Process and maintain employee lifecycle changes within our HR Systems, including contractual changes, organisational changes, shift pattern changes etc. across Workday and Open Options, ensuring accuracy and compliance with company policies.
  • Respond to standard enquiries, providing advice or guidance and directing employees and managers to the appropriate information, whilst managing customer expectations.
  • Upload, maintain and manage electronic employee records and HR documentation within our filing systems, ensuring documentation is complete, accurate, compliant and easily accessible.
  • Act as the Data Steward, taking ownership of all HR document management, ensuring all employee files are accurately maintained, audited where required and retained in accordance with data protection and data retention requirements.
  • Handle a range of HR administrative issues, including investigating records, files, databases, to resolve queries and maintain data integrity.
  • Produce, maintain and analyse HR data and reports, supporting HR teams with accurate information to enable informed business decisions and provide a consistent view across the business directorates.
  • Act as a note-taker in various informal and formal meetings, as required and with support from HR Business Partners/HR Advisors.
  • Work with the HR Business Partnering teams and wider HR Administrators to harmonise and improve HR administration processes, developing common ways of working, sharing best practice and ensuring consistent service is delivered.
  • Undertake specific projects on behalf of and occasionally under some guidance from the HR Business Partners / HR Advisors.
  • Prioritise and manage a varied workload, balancing competing priorities whilst maintaining high levels of accuracy, working collaboratively with other HR Administrators to provide cross-cover, share workload where required and ensure continuity of services across all business areas.
  • Undertake any other duties appropriate to the role.

What we’re looking for from you:

  • A highly organised, experienced and proactive Administrator with the ability to manage high volumes of work, prioritise effectively and maintain exceptional attention to detail.
  • Experience of working with HR Systems preferably Workday, with confidence processing employee lifecycle changes and maintaining accurate employee records.
  • Experience of working with data, ensuring high levels of accuracy, data integrity and confidentiality, with the ability to investigate and resolve data discrepancies.
  • Experience in process improvement and streamlining to enable efficiency and create standardised ways of working.
  • Strong customer service skills with experience of being customer facing, dealing with supporting people at all levels of the business.
  • An advanced level of expertise on Microsoft packages such as Excel and PowerPoint are essential, particularly with the ability to manipulate and analyse data in Excel and produce accurate reports.
  • Ideally some HR administration experience or qualification such as CIPD, although this is not essential.
  • A self-starter with a proactive approach, and flexibility to support team and colleagues where needed.
  • Ability to work under pressure in a fast-paced environment and multi-task with a range of complex organisational and business activities whilst maintaining a high level of accuracy and attention to detail.
