A highly respected global corporate organisation is seeking an exceptional Executive Assistant to support members of its senior leadership team. This role requires outstanding organisational ability, impeccable discretion, and the capacity to keep pace with a dynamic, fast‑moving executive environment.
As a key enabler for senior leaders, you will ensure seamless coordination across diaries, meetings, travel, and communications, while maintaining the smooth running of day‑to‑day operations.
Key Responsibilities- Executive Support
- Manage complex and frequently changing calendars and priorities.
- Act as gatekeeper, triaging incoming requests, communications, and briefing materials.
- Track deadlines, deliverables, and follow-ups to ensure nothing is missed.
- Operational & Administrative Support
- Oversee inboxes, departmental communications, and document preparation.
- Maintain accurate filing systems (digital and physical) with strong version control.
- Raise purchase orders, process invoices, and manage expense claims.
- Meetings & Logistics
- Organise internal/external meetings, including setup, equipment, catering, and virtual access.
- Coordinate detailed travel itineraries: transport, accommodation, check-ins, and schedules.
- Manage all visitor requirements, including access, arrival, and hosting.
- Stakeholder Engagement
- Liaise confidently with internal teams, external partners, vendors, consultants, and senior stakeholders.
- Draft correspondence, reports, presentations, and briefing notes.
- Build and maintain strong professional relationships across the organisation.
- Cross‑Team & Project Support
- Provide cover for other assistants during leave or absence.
- Support cross‑functional projects, ensuring timely coordination and effective communication.
- Recommend and implement improvements to enhance efficiency and working practices.
- Experience & Capability
- Proven experience supporting senior executives at EA/PA level (C‑suite essential).
- Exceptional organisational, multitasking, and prioritisation skills.
- Strong written and verbal communication abilities.
- Highly proficient with MS Office and modern digital tools.
