Our client a leading international investment manager are looking for an experienced Executive Assistant to support to the Legal and Origination areas of the business.
Hybrid flexibility but must be available to work from the London Office each Tuesday, Wednesday and Thursday.
KEY ACCOUNTABILITIES:
- Document Management, including creating and maintaining effective filing systems.
- Diary management including the coordinating and setting up of meetings and conference calls with internal & external clients.
- Management of inbox and flagging of important emails for specific managers
- Book flights, accommodation, transport and any other arrangements associated with travel.
- Telephone cover when necessary.
- Legal administration such as amending and creating legal documents according to the team’s instructions, proofreading, managing the esignature process for NDAs, engagement letters and other bid documents, coordinating KYC processes including producing draft corporate structure charts, and minute taking at relevant internal and external committee meetings
- Assistance with bid documents, creating and formatting where required.
- Bid support managing and setting up effective filing solutions including management of external supplier portals.
- Confidence with translating documents for various languages, using google or other related software’s.
- Ability to produce high quality presentations, documents, graphics and other forms of visual communications.
EXPERIENCE/KNOWLEDGE/QUALIFICATIONS REQUIRED:
- Intelligence and enthusiasm with a can-do attitude.
- Excellent written and spoken English.
- Ideally previous work experience in a corporate or commercial environment and experience working with finance related documents.
- Good keyboard and typing skills and excellent skills on Microsoft Office products, particularly PowerPoint. Experience in the production and formatting of large documents would be a distinct advantage.
- Ability to work in a fast paced, results driven environment, work well under pressure, with the ability to juggle and multiple tasks simultaneously.
- Should be able to work well as part of a team as well as individually and display a high level of initiative, adaptability and willingness to go the extra mile.
