An exciting opportunity has arisen for a highly organised and proactive Property Management Administrator to join a leading property management team supporting a prestigious London portfolio. This role sits within a fast-paced, client-focused environment and provides vital coordination and administrative support to surveyors working across a unique portfolio.
The successful candidate will play a key role in ensuring the smooth delivery of reporting, compliance, financial processes, and client communications, while supporting the wider team with excellent organisational skills and a strong attention to detail.
Key Responsibilities- Manage diaries, meeting schedules, and internal/external meeting cadence across teams.
- Compile, format, and coordinate a range of client reports including Quarterly Liaison Meeting packs, asset updates, EPC schedules and Horizon reporting.
- Attend client and internal meetings, take minutes, track actions, and support follow-up processes.
- Prepare service charge reconciliation and budget reports; update trackers, analyse spend and prepare supporting graphs.
- Coordinate service charge documentation, disputes, customer alterations and compliance trackers.
- Support operational tasks including raising POs, billing fees, processing invoices, and liaising with approvers.
- Assist with rent collection, receivables, property handovers, inspections and database updates.
- Maintain accurate digital and manual files, ensuring documentation meets internal standards.
- Provide administrative support including typing, preparing presentations, responding to queries, and maintaining departmental logs.
- Run reports from internal systems (Compass, Dynamics, Client Portal) and support surveyors with variance analysis and KPI returns.
- Arrange travel bookings and general team coordination.
- Strong Microsoft Office proficiency, with advanced Excel skills.
- Excellent organisational and coordination abilities.
- Strong communication skills, both written and verbal.
- Ability to work accurately under pressure and manage multiple priorities.
- High attention to detail and commitment to delivering excellent client service.
- Team-oriented mindset with the ability to build strong working relationships.
- Previous experience within property, real estate, surveying, or an accounts-based administrative role.
- Familiarity with service charge processes, leases, or property management systems.
Working Hours: Monday to Friday, 9:00am – 5:30pm
