Taskmaster Resources are looking to recruit an experienced and organised Operations Assistant/Adminisrator for a 2 month contract at the University of Huddersfield. Job Description Job Purpose To provide high-quality administrative and operational support to the School, contributing to the effective delivery of business processes, projects and day-to-day operational activities. The role will support a wide range of School functions including uniforms, financial processes, estates administration, shared inbox management and general operational coordination. 1. To support key administrative functions of the School's operations, including but not limited to: a. Uniform ordering, stock management, distribution and associated record keeping. b. Financial administration processes, including purchase orders, invoices, receipts and budget-related administration. c. Estates administration, including reporting issues, liaising with Estates, maintaining records and monitoring progress of works. d. Administrative support for School projects, events and operational activities. 2. To assist with the coordination and delivery of School business activities and operational functions including: a. School events, staff briefings and informal gatherings b. Support for high-profile events, including visiting delegations, external stakeholders and VIP visitors to the School. c. Administrative support for operational projects and initiatives across the School. 3. To provide general administrative support to the School under the direction of the School Operations Manager, Executive Project Manager and Executive Officer, including: a. Monitoring and managing shared inboxes, responding to routine enquiries and escalating matters where appropriate. b. Preparing and managing correspondence, communications and documentation. c. Ensuring enquiries are dealt with appropriately, prioritising and referring matters as necessary. d. Providing general administrative support across a range of School activities and services. 4. To develop and maintain strong working relationships with colleagues across the School and wider University, acting as a professional point of contact and dealing with enquiries where possible. 5. To support meetings and working groups as required, including arranging meetings, coordinating logistics, preparing documentation, taking notes where appropriate and following up agreed actions. 6. To provide advice and guidance to staff and students on administrative processes, procedures and operational activities within the School, referring more complex matters where necessary. 7. To support the effective day-to-day operation of the School by assisting with a wide range of administrative, operational and organisational activities. 8. To be responsible for maintaining accurate records, databases, mailing lists and information systems, ensuring information is up to date, complete and readily accessible. 9. To ensure that effective administrative systems and processes are maintained for the storage, retrieval and management of information and to support the timely completion of actions and deadlines. 10. To maintain appropriate levels of confidentiality, professionalism and discretion in all aspects of the role. 11. To undertake staff development and training as required and maintain and develop skills and competencies relevant to the post. 12. To support and promote the University of Huddersfield's values, working with colleagues to embed them as a way of working within the School. 13. To contribute to the efficient and effective operation of the School through: a. A professional, collegiate and customer-focused approach to service delivery. b. Positive participation in relevant meetings, projects and working groups. c. Collaboration and liaison with students, external contacts and colleagues across the School and University. d. Maintaining an appropriate working knowledge of other areas of the team to provide support, flexibility and continuity of service where required. 14.
