Job Title: Admin Support (Hybrid Role)

Hybrid Role: 3 days in the office, 2 days work from home
Job Overview
We are looking for a proactive and detail-oriented Admin Support professional to assist with various administrative and operational tasks. This hybrid role will involve 3 days working in the office and 2 days working remotely. The ideal candidate will support both administrative functions and assist in project coordination tasks, ensuring smooth daily operations and optimal productivity across departments.
Key Responsibilities
- Calendar and Schedule Management: Maintain and update schedules, appointments, and travel arrangements for the executive team.
- Communication and Correspondence: Handle calls, emails, and internal communication, ensuring prompt follow-ups on action items.
- Meeting Coordination: Schedule and organise meetings, prepare agendas, take minutes, track action items, and ensure follow-ups are completed.
- Project Support: Assist with project planning and documentation, including preparing schedules, budgets, and status reports for ongoing IT and business projects (ERP, CRM, etc.).
- Travel Arrangements: Organise travel logistics, including booking flights, accommodations, and itineraries for business trips.
- Documentation and Filing: Maintain accurate filing systems, ensure secure handling of confidential documents, and keep records easily accessible.
- Stakeholder Communication: Communicate with internal teams and external partners to ensure timely completion of tasks and project milestones.
- Office Support: Coordinate with different departments and external partners to ensure smooth office operations and administrative functions.
- Process Improvement: Assist in implementing process improvements to streamline administrative workflows and project coordination efforts.
Requirements
- Experience: 2-4 years of experience in an administrative or project coordination role, ideally supporting senior executives or project teams.
- Skills: Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook), familiarity with project management tools (e.g., MS Project, Jira), and strong organisational skills.
- Communication: Excellent written and verbal communication skills, with a keen eye for detail.
- Adaptability: Ability to manage shifting priorities, work independently, and handle sensitive information with discretion.
- Project Experience: Exposure to project documentation (e.g., project charters, Gantt charts, risk logs) and an understanding of project management principles (PMI, Prince2) is desirable.
- Education: Bachelor\βs degree in Business Administration, IT, or a related field is preferred.
Additional Skills (Optional)
- Knowledge of ERP or CRM systems is a plus.
- Familiarity with project management processes or experience in assisting IT implementations will be an advantage.
Job Type: Full-time
Pay: Β£32,000.00-Β£35,000.00 per year
