Tardis Environmental UK Ltd are a well-established portable toilet and tanker hire business that operate a large fleet of HGV and LGV vehicles across various locations situated throughout the UK. We hire temporary waste and water solutions from 1000ltr waste and water storage tanks up to 30,000ltr storage tanks. Currently members of FORS and hold Gold accreditation.

We are currently looking to recruit a Transport Planning Administrator based at our Telford Depot.

Hours: Monday to Friday - 8am to 5pm

Salary: £27,500 per annum

Purpose: Reporting directly to the company Transport Manager to ensure all aspects of the Transport Tanker Operations run smoothly in accordance with Driver hours regulations, with the main focus on good customer service ensuring all collections are completed effectively and customers are liaised with if at risk of receiving a poor service. To ensure all adhere to the company’s policies, in line with Tardis standards and current legislation. Effectively manage and oversee all Transport Administration requirements as directed within the department and across all areas of the business.

Key Duties:

  • Roll any jobs from drivers that have called in sick or due to vehicle breakdowns.
  • Ensure all customers are communicated with should a service fail and to log on company spreadsheets.
  • Ensure all jobs not completed on the day are rebooked and serviced by midday the following day.
  • Ensure all emails are responded to in a timely manner with particular emphasis on supporting the client base.
  • Ensure all account queries are responded to in a timely manner with a satisfactory outcome.
  • Assist all drivers with site queries where possible, contacting site and office to resolve.
  • Deal with all aborts to include contact with site/or office, backing up in writing once agreed.
  • Ensure all tickets received are checked off on the final empty sheet.
  • Check quirky list at the end of shift to ensure all drivers briefed on time delivery/collection for the following day and furthermore check on the day of collection to ensure time slots are met.
  • Communicate the Quirky sheet next day to confirm all achieved and should there be an issue to escalate to the Transport Manager for immediate action.
  • Ensure maps and any special instructions are communicated to the drivers and depots.
  • Send waste carriers licence and disposal permits as and when requested.
  • Send Proof of delivery paperwork as requested to customer base.
  • Ensure all accidents called into the Transport Office are reported to the correct department via email.
  • Have a good understanding of the highway code and good geographical knowledge.
  • Represent the company’s values and portray a professional image to all customers, potential customers and other people you meet during your work.
  • Be able to effectively communicate with Tardis customers, management and all other personnel in a professional and friendly manner.
  • Carry out other tasks and duties as required.
  • Escalate any issues in a timely and effective manner.
  • Ensure all paperwork is maintained across the department.
  • Liaising with both the drivers and other departments to ensure any delays or issues are picked up and dealt with or escalated quickly and efficiently.
  • Ensure all other departments have full visibility on any issues and actions taken to rectify.
  • Update and issue spreadsheets with accurate information as directed by the line manager or business requirements.

Please note: You may be asked to carry out additional duties as and when required; you may also be required to carry out different roles if required for example due to staff shortage, holidays and sickness.
