ROLE OVERVIEW
Tape is seeking a highly organised Production Coordinator to support the Creative Production Manager in the planning and delivery of events, experiences, shows, and venue productions across Tape projects. Working directly under the Creative Production Manager, this role assists production delivery by coordinating logistics, tracking timelines and budgets, supporting supplier communications, and maintaining production documentation. The Production Coordinator supports execution of the Creative Production Manager's direction and ensures production details are organised and progressing across all stages of delivery.

KEY RESPONSIBILITIES
PRODUCTION COORDINATION & PLANNING SUPPORT
- Support translation of the Creative Production Manager's decks into production tasks and requirements
- Maintain production timelines, trackers, and task lists
- Coordinate schedules across builds, installs, rehearsals, and events
- Track production progress and flag risks or delays to the Creative Production Manager
SUPPLIERS & ORDERS SUPPORT
- Research and identify suitable suppliers, products, and materials to meet Creative Production Manager's briefs
- Source options for props, decor, fabrication, print, costume, and technical elements
- Gather references, images, and pricing for Creative Production Manager's review
- Liaise with production suppliers under Creative Production Manager direction
- Track quotes, orders, and delivery timelines
- Maintain production order lists and procurement documentation
- Support procurement of approved items
BUDGETS & TRACKING
- Maintain production cost trackers and order logs
- Track committed spend and invoices
- Support pricing of production elements from approved creative
- Maintain budget documentation and status updates
LOGISTICS & INSTALL SUPPORT
- Coordinate deliveries, collections, and storage
- Support install and de-rig scheduling
- Maintain production asset inventory and tracking
- Support on-site production logistics
DOCUMENTATION & COMMUNICATION
- Maintain production schedules, trackers, and production documents
- Prepare call sheets, lists, and coordination notes
- Ensure production information flows across teams
- Maintain clear communication with Creative Production Manager
LIVE EVENT SUPPORT
- Support Creative Production Manager during installs and live events
- Coordinate suppliers and deliveries on site
- Assist with production readiness checks
- Support post-event pack-down and asset return
WHO YOU ARE
- Experience supporting production, events, or venue operations
- Highly organised and detail-focused
- Proactive, reliable, and able to work independently with strong initiative
- Able to absorb direction quickly and work at pace in a fast-moving environment
- Collaborative and communicative
- Comfortable managing multiple tasks simultaneously
- Confident using Excel for trackers and lists
- Confident using Canva to update decks and documents
- Background in nightlife, events, hospitality, or experiential environments advantageous
