Planning, coordinating, and delivering international corporate events, including leadership meetings, conferences, offsites, internal events, and partner engagements. Owning end-to-end event logistics: agendas, timelines, venues, travel, accommodation, catering, production, and on-site coordination. Partnering closely with senior leadership to define event objectives, formats, and key messages. Ensuring a consistent, high-quality brand experience across all international events.
Stakeholder & Vendor Management
Identifying, onboarding, and managing international suppliers and vendors, including event agencies, venues, production partners, and logistics providers. Leading vendor negotiations, managing contracts (NDAs, service agreements), and ensuring delivery against agreed scope, quality, and budget. Collaborating with Legal, Finance, Procurement, and Compliance teams to ensure contractual and regulatory adherence.
Budget & Procurement Management
Developing and managing event budgets, tracking spend, and driving cost efficiency. Overseeing procurement processes including purchase requisitions, purchase orders, and invoice follow-up using internal systems (e.g., Coupa). Monitoring financial performance and delivering post-event cost reporting and analysis.
Operations & Compliance
Ensuring all events comply with company policies, data privacy regulations (including HIPAA where applicable), and local regulatory requirements. Managing international logistics such as shipping materials, equipment, and event assets. Maintaining accurate documentation, contracts, and records for events and vendors.
Cross-Functional Collaboration
Working closely with Marketing, Communications, HR, and Executive teams to align events with broader company initiatives. Supporting leadership meetings by managing calendars, agendas, presentations, and high-level logistics as required. Providing best-practice guidance to internal stakeholders on planning and delivering international events.
Continuous Improvement
Collecting feedback and measuring event success against defined KPIs. Identifying opportunities to improve processes, supplier performance, and attendee experience. Maintaining shared documentation, timelines, and tools to drive efficiency and transparency.

Bachelor’s degree or equivalent post-secondary education preferred. Experience in event management, international coordination, or a related role. Experience working with senior executives and cross-functional, international teams. Background in customer-facing or stakeholder-driven roles is a plus.
