Are you an organised and proactive administrator who loves keeping things running smoothly? We have a short-term Administrative Assistant opportunity where you’ll play a vital role in supporting an important finance project — helping manage supplier information and ensuring everything is up-to-date and accurate in our ERP system (IFS). Our client is preparing to be on the grid for the 2026 FIA Formula One™ World Championship, and they’re building a world-class team on and off the track. They’re looking for someone reliable and detail-focused to help keep their supplier records organised and payments on track.
What You’ll Be Doing:
- Sending emails to over 500 suppliers to request updated details, including bank information.
- Keeping careful track of responses and following up when needed.
- Accurately entering supplier information into the IFS ERP system.
- Setting up a new payment type within IFS to support supplier payments.
- Making calls to double-check bank details for added security.
- Working closely with the Accounts Payable Supervisor to resolve any issues or data gaps.
What We’re Looking For:
- Excellent organisational and time management skills.
- Strong written and verbal communication — you’ll be comfortable sending professional emails and making polite follow-up calls.
- A high level of attention to detail — you’ll be handling important information.
- Some experience with ERP systems (IFS is a plus) or similar admin databases is helpful but not essential.
- A positive, flexible attitude and the ability to handle repetitive admin tasks accurately and efficiently.
