About the Role We are seeking an experienced and highly organised Personal Assistant to provide dedicated support to a Senior Director with multiple streams of responsibilities. This is a pivotal role requiring exceptional organisational skills, discretion, and the ability to proactively manage a demanding workload, ensuring the Director’s time is managed effectively and efficiently. The ideal candidate will have a proven track record in managing busy diaries and inboxes, coordinating enquiries, and bringing structure and clarity to complex schedules and priorities. Key Responsibilities * Diary Management: * Manage and maintain the Director’s electronic diary, scheduling internal and external meetings, appointments, and events * Proactively identify and resolve scheduling conflicts, prioritise diary requests and ensure appropriate meeting preparation and follow-up. * Mailbox Management: * Monitor and manage the Director’s email inbox, flagging urgent matters, responding to routine queries where appropriate, and ensuring important communications are actioned in a timely manner. * Organise, file, and categorise correspondence to maintain an orderly and efficient mailbox structure. * Enquiry Management: * Act as a professional and effective first point of contact for enquiries from internal and external stakeholders, ensuring clear, courteous, and timely responses. * Triage enquiries, escalating issues where appropriate and maintaining oversight of outstanding actions. * Organisation & Workflow Management: * Develop and maintain structured working practices and systems to support the Director in managing multiple streams of responsibilities. * Create and implement working patterns, routines, and checklists to bring consistency and predictability to daily operations. * Meeting Preparation & Documentation: * Prepare meeting agendas, briefing papers, and supporting documents as required. * Record and distribute meeting notes, capturing actions and ensuring follow-ups are tracked. Requirements Essential: * Minimum of 5 years’ experience in a Personal Assistant or Executive Assistant role supporting a senior leader or executive. * Proven experience in diary management, mailbox management, and professional enquiry handling. * Strong organisational and time-management skills, with the ability to multi-task and prioritise under pressure. * Excellent written and verbal communication skills, with a professional and discreet approach. * High level of proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and digital collaboration tools. * Strong attention to detail and a proactive, solutions-focused attitude.
