We are looking for a highly organised, proactive, and tech-savvy Operations Assistant who can take control of the day-to-day workflow - streamlining processes, managing communications, and enabling the founder to focus on strategic growth.

What You’ll Be Doing:

  • Oversee day-to-day ops: from quoting and invoicing (via Xero) to subcontractor liaison and client follow-ups
  • Own and maintain the CRM (HubSpot), moving leads through the funnel, keeping tasks up to date, and ensuring a smooth journey from enquiry to project delivery
  • Manage the director's inbox and diary, schedule appointments, and support with travel, meetings, and PA tasks
  • Coordinate inbound sales calls and respond to client queries about services, timelines, and pricing
  • Handle document and report flow from gathering pre-survey paperwork to storing final certificates
  • Chase outstanding info and quotes, liaise with subcontractors on availability, and issue work orders
  • Bookkeeping support - uploading receipts to Xero and working with the accountant
  • Create, embed, and eventually record SOPs and process flows to help standardise and scale internal operations
