We are seeking to recruit an enthusiastic and committed Specialty Administrator Team Leader to join our Colorectal and General Surgery team at Yeovil District Hospital (YDH). This is a full time role - 37.5 hours per week.

You will provide comprehensive administrative support to the specialty team, including consultants, registrars, and other healthcare professionals. In addition to managing day-to-day administrative tasks, you will take on a leadership role within the admin team, acting as the Team Leader for the Specialty Administrators. This includes overseeing workload distribution, offering guidance and support, and ensuring the delivery of a high-quality, efficient service across the team.

Provide day to day management, team leading and support to the admin team. Be an escalation point for queries.

Prioritise own work efficiently and effectively, highlighting any issues to the Operational Support Manager.

Plan clinical staff rotas and cover, support scheduling and rescheduling of activity where required.

Deal with day-to-day admin via correspondence, telephone calls, emails etc.

Support with typing of minutes and clinical correspondence.

Liaise with appropriate personnel in the team to gather and co-ordinate patient information so this is accessible in a timely manner.

Act on potential RTT breaches, flagging up as necessary to the Operational Support Manager.

Participate in team and Trust meetings as requested.

Person specification

Qualifications

Diploma level/NVQ 4 in Business Administration or demonstrated equivalent experience.

AMSPAR or British Medical Secretary Diploma (includes medical terminology) or equivalent knowledge.

RSA/OCR III or equivalent typing/word processing including audio typing

Experience

Extensive secretarial experience at senior level.

Experience of line management, supervision or mentoring skills.

Advanced knowledge of information technology packages including Microsoft Word, Excel, Access and PowerPoint in order to complete tasks.

Evidence of a good standard of Literacy / English language skills

Good communication skills on the telephone, via email, face to face and in written correspondence

Experience of taking formal minutes at sub-committee/group level.

Knowledge of specialist functional medical/legal terminology.
