Panavision is the world-class provider of end-to-end solutions that power the creative vision of filmmakers. Panavision's offerings include optics, proprietary camera and lighting systems, and state-of-the-art post-production services. The role is based on-site at the Camera Division Head Office in Greenford and involves partnering with senior leaders within Panavision Europe.
This is a high-exposure, hands-on opportunity that requires confidence in managing upwards to ensure the Managing Director's time and focus is spent on the most important, strategic business matters. The successful candidate will provide vital administrative and business support, serving as the main point of contact for the Group Finance Director and the wider Senior Management Team.
What You’ll Do- Executive Partnership & Business Support: Proactively manage the MD's forward planning and priorities to ensure optimal productivity and preparedness for all strategic commitments. Act as the primary administrative partner to the MD and Group FD, managing sensitive correspondence and key business needs with discretion. Serve as the first point of contact for all incoming calls and visitors for the senior leadership team. Manage and process expense reports for the MD and FD.
- Organisational Management: Take full ownership of and proactively manage the MD's complex, global calendar, confidently challenging and restructuring priorities to align with strategic goals. Coordinate and manage all internal and external meetings (e.g., Board, Departmental, Industry), including arranging high-profile off-site events, catering, and corporate gifts. Produce accurate and confidential minutes for key meetings and drive follow-up to ensure action points are completed by the appropriate people. Coordinate all travel logistics, including hotel and transport, supporting itinerary creation with the MD.
- Projects, Analysis & Compliance: Prepare high-quality board decks and executive presentations on behalf of the MD. Utilise analytical skills to conduct project research, compile statistics, and create high-quality reports (including graphs, charts, and presentations) as requested by the MD and FD. Set up and maintain a secure digital archive of all company legal, management, and compliance documents.
- Demonstrable experience as an Executive Assistant supporting senior leadership, ideally from a finance or sales background.
- Strong commercial awareness and engagement in the business, with a genuine interest in the operations and strategic goals of a global organisation.
- Experience or familiarity with the film, production, or entertainment industry is a distinct advantage.
- Proactive, self-motivated, and confident approach for managing upwards and working in a fast-paced environment.
- Exceptional organisational, project management, and problem-solving skills.
- Meticulous attention to detail and professional presentation in all written and verbal communication.
- Proven ability to discreetly handle confidential and commercially sensitive information across legal and financial contexts.
- Fully proficient in the MS Office suite (Excel, PowerPoint, Word) and highly capable of learning new IT applications quickly.
