The Company: We are in search of a meticulous and well-organized Import Coordinator to become a valuable member of our team. In this role, you will be tasked with the supervision and control of the importation process from suppliers located in Asia, China, Turkey, and the UK. Your responsibilities will include guaranteeing compliance with established procedures and the timely preparation of documentation for our forwarders. The Import Coordinator will play a crucial role in liaising with diverse stakeholders, coordinating shipments, overseeing import documentation, and ensuring smooth collaboration across various departments.
Key Responsibilities:
- Maintain regular communication with suppliers in Asia, China, Turkey, and the UK to ensure accurate and timely submission of required documentation for the forwarders.
- Ensure correct procedures are followed by suppliers to facilitate smooth import processes.
- Process shipment dates in collaboration with freight forwarders and accurately track shipments.
- Coordinate with the warehouse to arrange deliveries and ensure timely receipt of goods.
- Possess a comprehensive understanding of Ocean and Air Import procedures and practices.
- Provide expertise and guidance on import-related matters to the team.
- Liaise with the Merchandising team and Sales to keep them informed of any changes in the import process and ensure the critical path is updated accurately.
- Provide commodity codes to the forwarder for accurate customs declarations.
- Manage import documentation to ensure compliance with regulations and internal standards.
- Arrange payments using the HSBC banking system.
- Post payment journals and reconcile vendor accounts.
- Manage administrative tasks, ensuring organization and clarity of files and documents related to imports.
- Post invoices and credit notes accurately.
