Executive Assistant Overview: The Executive Assistant provides high-level administrative and operational support to the CEO and wider global executive team. This role ensures the smooth functioning of executive activities, enabling leadership to focus on strategic priorities. The EA acts as a trusted partner, managing schedules, communications, and confidential information with discretion and professionalism.

Responsibilities & Duties:

  • Diary, Schedule and Meeting Management: Coordinate complex calendars, meetings, and travel arrangements for executive team. Prepare agendas, briefing documents, and minutes for leadership meetings. Track action items and ensure timely follow-up. Arrange domestic and international travel, including flights, accommodation, transfers, and itineraries. Ensure compliance with company travel policies and cost-efficiency.
  • Project Assistance: Support strategic projects and initiatives as directed by executive team. Conduct research and compile data for decision-making.
  • Office & Facilities Management: Provide facilities oversight and office support, coordinating global facilities activities across multiple locations to ensure smooth day-to-day operations and a consistent employee experience. Lead team who handle minor facilities needs like coordinating repairs, maintenance requests, or liaising with building management.
  • Communication & Correspondence: Act as the first point of contact for internal and external stakeholders. Draft, review, and manage emails, reports, and presentations on behalf of executive team.
  • Workspace & Environment Support: Lead the team who deliver office cultural and celebration events. Leading desk moves, meeting room bookings, or ensuring rooms are set up appropriately for meetings and events.
  • Event & On-Site Logistics: Working with Events team to ensure spaces are set up for leadership meetings, offsites, town halls, and internal events. Working with Events team to organise catering, AV requirements, room layouts, or ensuring facilities support is booked as needed.

Qualifications:

  • Previous experience as an EA or in a senior administrative role (preferably within travel or corporate services).
  • Knowledge of travel industry operations and terminology is advantageous.
  • Strong understanding of business etiquette and executive-level support.
  • Exceptional organisational and time-management skills.
  • Strong communication and interpersonal abilities.
  • High level of discretion and integrity.
  • Proficiency in Microsoft Office Suite and travel booking systems.
  • Ability to work under pressure and adapt to changing priorities.
