We are seeking a Student Support Officer to provide high‑quality administrative, enrolment, compliance, and program support across our Registered Training Organisation (RTO) and Employment Skills Training (EST) programs.
This role supports students and participants throughout their lifecycle, ensuring records are accurate, compliant, and audit‑ready, and that administrative processes run efficiently. The position works closely with trainers, coaches, stakeholders, and management to support effective program delivery, strong stakeholder communication, and adherence to regulatory and funding requirements across both programs.
Key Responsibilities
- Process student and participant enrolments and ensure documentation is complete, accurate, and compliant
- Maintain student and program records across electronic and hard‑copy systems
- Provide administrative and operational support throughout the student and participant lifecycle
- Support compliance, reporting, and audit requirements for RTO and EST programs
- Assist with attendance tracking, claims documentation, and program reporting
- Communicate effectively with students, participants, trainers, coaches, stakeholders, and guardians where required
- Manage inboxes, calendars, and routine administrative tasks
- Support trainers and coaches with program‑related administrative and technical queries
- Contribute to continuous improvement of systems and processes
- Undertake additional duties within scope as required to support operational needs

Selection Criteria
Competencies
- Demonstrated experience in RTO administration and compliance activities, with working knowledge of student management systems such as aXcelerate and Workforce Australia Online (desirable).
- Strong proficiency in Microsoft Office 365, particularly Word, Excel, and Outlook, with a high level of accuracy in data entry, document preparation, and record management.
- Well-developed written communication skills, with strong attention to detail and a commitment to producing clear, accurate, and well‑presented documentation.
- Effective verbal communication and interpersonal skills, with the ability to liaise professionally and positively with students, guardians, trainers, coaches, stakeholders, and management at all levels.
- Demonstrated ability to prioritise, organise, and manage multiple tasks within established deadlines while maintaining accuracy and professionalism in a fast‑paced environment.
- Ability to work effectively within a team environment under direction, while also demonstrating initiative and accountability for assigned responsibilities.
- A proactive and solution‑focused approach to resolving queries, addressing issues, and supporting continuous improvement in administrative and program processes.
- A flexible, mature, and adaptable approach to work, with a positive “can‑do” attitude and a willingness to learn, develop new skills, and respond to changing priorities.
