The Executive Assistant provides high-level administrative and operational support to the CEO and wider global executive team. This role ensures the smooth functioning of executive activities, enabling leadership to focus on strategic priorities. The EA acts as a trusted partner, managing schedules, communications, and confidential information with discretion and professionalism.

Responsibilities & Duties:

  • Coordinate complex calendars, meetings, and travel arrangements for the executive team
  • Prepare agendas, briefing materials, and meeting minutes for leadership sessions
  • Track action items and ensure timely follow-up
  • Manage domestic and international travel, including flights, accommodations, transfers, and itineraries, ensuring compliance with company policies and cost efficiency
  • Provide support on strategic projects and initiatives as directed by the executive team
  • Conduct research and compile data to support decision-making
  • Oversee facilities and office operations, coordinating activities across multiple locations to ensure seamless day-to-day operations and a consistent employee experience
  • Lead the team responsible for facilities support, including repairs, maintenance requests, and liaison with building management
  • Serve as the primary point of contact for internal and external stakeholders
  • Draft, review, and manage emails, reports, and presentations on behalf of the executive team
  • Lead the team responsible for office culture initiatives and employee events
  • Oversee desk moves, meeting room bookings, and ensure spaces are properly set up for meetings and events
  • Partner with the Events team to coordinate logistics for leadership meetings, offsites, town halls, and internal events
  • Ensure all event requirements are managed, including catering, AV, room layouts, and facilities support

Qualifications:

  • Proven experience as an Executive Assistant or in a senior administrative role, ideally within travel or corporate services
  • Familiarity with travel industry operations and terminology is advantageous
  • Strong understanding of business etiquette and executive-level support
  • Exceptional organizational and time management skills
  • Excellent communication and interpersonal abilities
  • High level of discretion, professionalism, and integrity
  • Proficiency in Microsoft Office Suite and travel booking systems
  • Ability to perform under pressure and adapt to shifting priorities
