As the Office and Executive Coordinator, you’ll be the cornerstone in ensuring the efficient day-to-day operations of the office while also serving as a reliable assistant to the executive team. You’ll handle a wide variety of tasks, ranging from office management to high-level executive support, making this role ideal for someone who thrives in a fast-paced, multitasking environment. Your ability to prioritize, problem-solve, and maintain professionalism will be key to your success in this role., * Oversee office operations, ensuring the workspace is organized, stocked with supplies, and running efficiently.

  • Manage relationships with vendors, ensuring timely delivery of office supplies and services.

  • Coordinate facility maintenance, repairs, and office-related projects.

  • Serve as the primary point of contact for internal staff and external visitors, ensuring a welcoming and professional environment.

Executive Support:

  • Provide comprehensive support to the executive team, including calendar management, meeting coordination, and travel arrangements.

  • Assist with the preparation of reports, presentations, and other documents for executive-level meetings.

  • Handle confidential information with discretion and ensure seamless communication between executives and internal/external stakeholders.

  • Coordinate logistics for high-level meetings, including scheduling, catering, and room setup.

Event Planning:

  • Organize and execute company events, both small and large-scale, such as team meetings, holiday parties, and offsite retreats.

  • Collaborate with team members across departments to ensure smooth execution of events.

Administrative Support:

  • Assist with general administrative tasks such as data entry, expense reports, and invoice management.

  • Support the HR team with onboarding new hires and other people-related tasks as needed.

  • Highly Organized: You can juggle multiple tasks and deadlines with ease and know how to prioritize what matters most.

  • Proactive Problem Solver: You anticipate issues before they arise and come up with solutions quickly.

  • Strong Communicator: You have excellent verbal and written communication skills, and you’re able to interact with colleagues at all levels with professionalism and ease.

  • Resourceful & Tech-Savvy: You’re adept at using office software and systems to streamline processes and increase efficiency.

  • Adaptable: You thrive in dynamic environments and are comfortable navigating ambiguity., * Minimum of 2 years’ experience in office management, executive support, or a similar role.

  • Bachelor’s degree preferred but not required; equivalent experience is valued.

  • Strong proficiency in office tools such as Microsoft Office Suite

  • Proven ability to handle confidential information with discretion.

  • Experience coordinating events and managing multiple stakeholders.

  • Ability to work independently with minimal supervision while being an active contributor to the team.
