The Senior Freight Coordinator is responsible for managing and optimising the transportation of tools and personnel, ensuring timely deliveries and compliance with international trade regulations. This role requires a high level of coordination, analytical skills and experience in freight operations. Responsible for freight and associated administrative support to the Pipeline Integrity Commercial and Operations department, ensuring overall operational continuity, and budgetary compliance.
Key Responsibilities:
- Coordinate air, ocean and road freight shipments from origin to destination.
- Monitor freight movements and proactively resolve delays, customs holds, or documentation issues.
- Prepare and manage import/export documentation.
- Receive shipment requests and organise optimum transport in relation to cost, priority and availability, coordinating with external partners to facilitate efficient transportation.
- Liaise between operations and project managers, coordinating and ensuring visibility of all shipments, compliance with budgets, and shipping/mobilisation schedules are met.
- Drive down costs and improve efficiencies through evaluation and onboarding of new freight and travel suppliers, in collaboration with procurement ensuring company compliance is met and maintained.
- Order placement with selected supplier(s) and arrange coordination from order to invoice.
- Preparation of all shipping and mobilisation documentation, ATA Carnet, personnel visas, shipping invoices, compliance certification, customs documentation and formalities, ensuring compliance with local, international and TDW policies and regulations.
- Monitor freight movements and proactively resolve delays, customs hold, or documentation issues; communicating any changes that may affect the schedule to the project manager and Operations team.
- Maintain records of all Freight & Mobility quotes and orders, ensuring traceability where required, highlighting any identified areas of improvement.
- Code supplier invoices within the financial system and request appropriate approval to ensure they are accurately applied to the correct project.
- Assist QHSE department with audit preparation relating to Freight & Mobility.
- Analyse freight costs and identify savings opportunities.
- Challenge internal stakeholders on Freight & Mobility specifications, ensuring that the optimum solution is implemented in terms of cost and efficiency.
Experience:
- 5+ years of experience in freight coordination, or supply chain operations.
- Previous experience of managing international shipments (air, sea, road).
- Familiarity with freight forwarding, customs documentation and Incoterms.
- Proven track record coordinating with carriers, suppliers, customs agents and internal departments.
Knowledge, Skills, And Abilities:
- Knowledge of import/export regulations, compliance requirements and trade documentation.
- Strong Excel skills (pivot tables, VLOOKUPS etc.) and experience with freight cost analysis.
- Excellent problem solving, organisational and communication skills.
- Ability to resolve freight issues, delays, or customs holds under pressure.
