Role Overview

We are seeking a motivated and detail-oriented Programme Management Officer to join the ETC Secretariat. This role is ideal for a strong early-career professional with a few years of work experience who is eager to grow in a fast-paced, high-impact environment. The PMO Officer will play a central role in managing ETC operations, supporting member engagement, and overseeing budget planning and financial processes.

Key Responsibilities

  • Manage the PMO inboxes, ensuring timely and professional responses to member enquiries.
  • Coordinate with analytical and communications teams to address subject-specific queries.
  • Coordinate the member renewal process, including conducting annual member revenue checks, follow-up with members, and preparation of renewal documentation in collaboration with finance and legal teams.
  • Maintain and update the Member Engagement Tracker and Contact Database, ensuring accurate and up-to-date records of member participation and follow-ups.
  • Onboard new ETC Commissioners and Representatives, ensuring smooth integration into ETC activities.
  • Upload and manage content on the ETC Member Portal, including meeting materials and event listings.
  • Support planning of key ETC activities, including identifying suitable dates, providing recommendations, and ensuring alignment with the broader ETC calendar.
  • Manage budget processes for a multimillion Euro budget, including playing a key role in annual budget planning and monthly reviews.
  • Support the contracting and invoicing process with ETC members, liaising with Systemiq’s finance and legal teams.
  • Manage supplier contracts and invoices, ensuring compliance with internal procedures and timely processing.
  • Logistical planning and running ETC events
  • Organise logistics (venue, audio-visual, food arrangements, agenda structure, tracking event responses) for ETC governance meetings and dinners which include in person and hybrid events for 30+ C-Suite attendees
  • Facilitating smooth online expert global workshops and webinars, including aligning with speakers and final delivery support
  • Support ETC presence at major climate events such as COP and London Climate Action Week, including organising side events (e.g., drinks receptions, panel discussions), and providing assistance with logistics, event responses, travel and visa arrangements where required.
  • Organising internal team offsites and team socials.

Learning and Development Opportunities

This role offers significant exposure to high-level stakeholders across the energy and climate sectors. The PMO Officer will gain hands-on experience in project management, stakeholder engagement, and financial operations. You will work closely with the ETC Director, Deputy Director, Chair and wider team, contributing to strategic decision-making and operational excellence.

Candidate Profile

  • 2–4 years of professional experience in project coordination, operations, or related fields.
  • Strong organizational and communication and writing skills.
  • Ability to manage multiple tasks and priorities effectively.
  • Interest in climate, energy, and sustainability topics.
  • Proficiency in Microsoft Office and familiarity with digital collaboration tools.
  • Experience with budgeting or financial tracking is a plus.
  • A proactive and collaborative mindset.
