Job Overview

We are seeking a highly organized and proactive individual to join our dynamic team as an Executive Assistant & Events Coordinator. This role will play a crucial part in supporting executive-level management, coordinating events, and facilitating internal communications within the organisation. The ideal candidate will thrive in a fast-paced environment, possess excellent communication skills, and be adept at managing multiple tasks with efficiency.

What will you be doing?

Executive Assistance:

  • Provide high-level administrative support to executives, including managing calendars, scheduling meetings, and handling travel arrangements.
  • Prepare and organize materials for executive meetings, ensuring timely distribution and follow-up on action items.
  • Act as a liaison between executives and various internal and external stakeholders, maintaining a high level of professionalism and confidentiality.

Events Coordination:

  • Plan and execute a variety of company events, including conferences, seminars, and team-building activities.
  • Coordinate logistics for events, such as venue selection, catering, audiovisual equipment, and attendee accommodations.
  • Collaborate with internal teams to ensure seamless execution of events, from conception to post-event evaluation.
  • Manage event budgets, track expenses, and negotiate contracts with vendors to optimise cost-effectiveness.

Internal Communications:

  • Develop and implement internal communication strategies to ensure consistent messaging across the organisation.
  • Create engaging content for internal communications, including newsletters, memos, and announcements.
  • Facilitate communication channels between departments to enhance collaboration and information sharing.
  • Coordinate and contribute to the development of internal events, such as town hall meetings and team-building activities.
  • Monitor and manage internal communication platforms, ensuring information is up-to-date and accessible to all employees.

You need to have the following experience:

  • Proficient in MS Office Suite and event management software.

  • Bachelor’s degree in Business Administration, Communications, or a related field is preferred.
