Primary Function

Seeking an outgoing, connected, and organized Production Manager to conduct freelance and project-based hiring, onboarding and crew booking, freelance referral management, and production resourcing for global video production and events. This includes owning client discovery, sourcing, estimates, and personnel management. It’s essential this role works with urgency and a genuine interest in getting people connected with work they love.

Duties & Responsibilities

  • Be an ambassador to the freelance community to help match talent with gigs, foster ease of working and our service commitment.
  • Actively work to identify, develop, and maintain relationships with corporate brands and creative agency clients, and a wide variety of creative and technical talent around the world.
  • Manage freelance profiles, rosters, lists, and reports, manage new and referred talent profiles.
  • Serve as point of contact for internal and external freelance and project-based requests.
  • Facilitate and lead client discovery meetings to develop budgets, proposals, scopes of production and event work.
  • Partner with internal Subject Matter Experts (SMEs) for advanced vetting and evaluation when required.
  • Energize the team by identifying, matching, and booking strong collaborators and vendors capable of producing quality content and events.
  • Embrace diversity spend targets by utilizing proprietary Inclusive Sourcing List.
  • Schedule and hire, building out production teams as needed. Book equipment, manage location requirements, facilitate payments, and communicate changing production needs.
  • Maintain awareness of global, domestic, regional, and seasonal impacts to talent populations.
  • Maintain current knowledge of creative content industry trends; freelance marketplace sentiments, and emerging production tools and workflows.
  • Align with Recruiting on support for open requisitions, including postings and reference checks, talent communications, events, and activities.
  • Manage onboarding and offboarding cycles for domestic hiring, issue new hire documentation.
  • Facilitate compliance and completion for HR and payroll forms such as tax documents and I-9s.
  • Work closely with A/P, payroll, and operations management to ensure all talent agreements and required documentation is complete for accurate payments.
  • Facilitate union payroll scenarios, working with payroll and venue operations for special requests.
  • Create accurate client and internal project tracking, invoicing, and reporting.
  • Organize special projects, attend business development meetings and presentations, participate in external company initiatives and marketing efforts.
  • Other duties as assigned.

Skills & Qualifications

  • Strong results orientation with a flexible attitude to deliver seamless and timely services to customers. Immediate responsiveness to client requests.
  • A positive attitude coupled with critical thinking and decision‑making skills.
  • Proficient understanding of all types of modern digital content production and event functional roles, equipment, and processes.
  • Able to assess production skill sets from demonstrated portfolio work, resumes, and other materials; evaluate candidates’ technical and interpersonal skills to determine their alignment with project requirements.
  • Able to negotiate rates, terms and conditions, and deliverables within a contract framework.
  • Ability to distill complex technical info and relay throughout the booking process; ability to leverage internal SMEs to continuously improve baseline knowledge.
  • Writes and speaks effectively and clearly articulates creative solutions in terms of clients’ business goals.
  • Current knowledge of creative talent market, familiarity with schedules and needs of project‑based talent, demonstrated experience negotiating production project costs and labor rates.
  • Ability to switch from one project to another quickly and effectively; ability to quickly prioritize and reorganize events, projects, and resources.
  • Strong interpersonal skills and ability to supervise small teams. Sensitivity and tact in dealing with staff/partners/clients at different levels in a very diverse environment. Actively listen, discuss solutions, and mediate conflict.
  • Process‑oriented, ability to create and follow procedure while accommodating for unique needs.
  • Able to quickly learn new CRM, ATS, and software platforms. Experience with Salesforce, Workbook, Workday, or similar are preferred.
  • Experience in HR or Payroll are helpful, but not required.
  • Ability to travel as needed (less than 5%).

Education & Experience

  • 5+ years’ tv/video/film production or ad agency experience required.
  • International production experience preferred.
  • 3+ years’ experience in human resources, crewing, payroll, business affairs, or creative operations.
  • 3+ years’ experience managing production crews, field or studio.
  • Bachelor’s degree in human resources, Business, Media, Communications, Marketing, or related field preferred.
