QMS & Sales Support Coordinator – Market Access Location: Essex – Hybrid Salary: £35,000 per annum Hours: Full-time, Monday – Friday (08:30–17:00, 30 min break) On-site days: Wednesday, Thursday & Friday (Essex) Remote days: Monday & Tuesday Job Type: Permanent We are recruiting for a QMS & Sales Support Coordinator to join a specialist testing, certification and compliance business based in Essex. The role will also remotely support a sister company elsewhere in the UK. This is a varied position combining Quality Management System (QMS) coordination, ISO 17025 document control, compliance, and day‑to‑day commercial/admin support (quotes, invoicing, CRM, basic finance chasing). The role would suit someone from a regulated, process‑driven environment (e.g. accredited lab, regulated manufacturing, medical devices, oil & gas, pressure equipment, ATEX/EMC, etc.) who is highly organised and comfortable supporting both quality and commercial activities. What’s in it for you? £35,000 salary Permanent, full-time position Hybrid working: 3 days on-site (Essex), 2 days from home 25 days holiday plus bank holidays Standard workplace pension Free on-site parking Lunch provided on-site Varied role covering quality, compliance and commercial/admin support Opportunity to work within a specialist testing and certification environment across a wider group of businesses Very limited travel to the sister site in the UK – likely rare/occasional only Key Responsibilities Quality / QMS / Compliance (core focus) Maintain and support document control within the ISO 17025 Quality Management System on-site in Essex Support and coordinate quality and compliance activities across the wider group remotely Prepare, maintain and control quality documentation, procedures and records Support and participate in external audits (ISO 17025 and related standards) alongside internal quality/technical leads Maintain documentation relating to UK Market Access compliance and accreditation schedules Ensure QMS processes are followed rigorously and consistently (strong “process‑based approach”) Support internal auditing and continuous improvement activities (training can be provided where needed) Commercial / Sales Support / Admin Generate and send quotes to customers, following defined internal processes Log and track opportunities, quotes and customer interactions in the CRM system Follow up quotes and enquiries, using appropriate sales/communication techniques Raise and process customer invoices (training will be provided – prior experience not required) Use system reporting to help identify and chase overdue payments (alongside finance) Support basic local finance and reporting processes as needed Assist with occasional business development activities (e.g. trade shows, marketing inputs, customer testimonials) Provide general admin and operational support to the small Essex office team (including cover when part‑time staff are not on site) Internal Coordination Coordinate and support the team based at the Essex site, helping ensure smooth day‑to‑day operations Work closely with stakeholders across both the Essex site and the remote sister site to ensure quality and commercial processes are aligned and followed Maintain accurate, up‑to‑date internal records, documentation and customer information across systems (QMS, CRM, QuickBooks, etc.) What We’re Looking For Essential Previous experience working within a formal Quality Management System (QMS) Clear evidence of a process‑based way of working (used to following and maintaining procedures) Experience with quality documentation, compliance and/or auditing support Strong organisational skills; able to manage multiple tasks and priorities in a small, busy office Good communication skills and confidence dealing with customers and internal stakeholders Comfortable with basic IT systems (Office, Excel, CRM or similar) and updating records accurately Highly Desirable Experience with ISO 17025 and/or work in an accredited testing / laboratory environment OR experience with ISO 9001 within a regulated manufacturing / regulated environment, Any exposure to internal/external audits or audit preparation Experience in testing, inspection, certification, engineering or regulatory compliance environments Nice to Have (training can be given) Experience with customer quotes, sales support or internal sales coordination Experience using HubSpot or similar CRM Experience with QuickBooks or similar finance tools Travel Role is primarily based at the Essex site with hybrid working Only very limited, occasional travel to another UK site may be required (e.g. potentially once a year or as business needs dictate) Apply If you’re an experienced QMS Coordinator, Quality Coordinator, Compliance Coordinator, Certification Coordinator or Technical Sales/Support Coordinator from a regulated environment and you’re looking for a varied position combining quality, compliance and commercial support, we’d like to hear from you.
