Provides end-to-end operational support for publications and congress activities, ensuring accurate planning, tracking, and execution across multiple workstreams. The role is responsible for building and maintaining detailed publication timelines aligned to congress and journal milestones, managing publication set‑up and documentation (including project intake forms and PubsHub records), and supporting author engagement and kick‑off activities. The position plays a key coordination role, owning status tracking and client‑ready updates, attending client status meetings and capturing minutes, and supporting materials management through Veeva. Additional responsibilities include congress liaison, onsite presenter scheduling, publications metrics reporting, and financial/operational support such as job code set‑up and time review within ClearOps.
Responsibilities
- Build, maintain, and actively manage detailed publication timelines (manuscripts, abstracts, posters, plain language summaries) aligned to congress/journal milestones
- Develop Publication Initiation Forms (project intake forms) and send to client for all projects before they kick off
- Support with sending out author invitations and scheduling and managing author kick‑off calls
- Management of the PubsHub platform, including setting up PubsHub records, and ensuring all documentation is uploaded accurately for each project
- Update status tracker daily to align with project updates via teams and emails, and prep client ready versions for status meetings
- Attend client status meetings and take minutes
- Support with Veeva management of materials
- Support with developing onsite schedules for presenters
- Support with pulling together metrics for publications
- Support with congress liaison when required for printing, guidelines etc.
- Support with setting up new job codes on the clearops system and reviewing time on jobs
Education
Degree (or equivalent qualification) in a relevant field such as business, life sciences, communications, or a related discipline

- Clear, professional written and verbal communication skills

Technical & System Skills
- Competence with Microsoft Office (Outlook, Word, Excel, PowerPoint)
