The Valuations Coordinator will be a key figure in Sworders' delivery of outstanding customer service, playing a crucial role as the first point of contact for those approaching Sworders for a formal valuation. This position is client facing, taking responsibility for the sales process for valuation work, customer onboarding, ensuring the smooth process of the service, managing the resources of the Valuation Team, organisation completion of reports and communication with customers.
Duties & Responsibilities
- Dealing with enquiries for valuations from existing professional relationships and taking on organisation of assignments from senior valuers.
- Dealing with requests from customers and responding to all customers within agreed service levels.
- Describing and explaining our service in a manner that wins those assignments that we wish to accept.
- Collecting client data, entering onto our computer system, obtaining formal approval to our terms and other aspects of onboarding customers.
- Assigning appointments internally to valuers and managing client expectation regarding valuation timeframes and processes.
- Arranging a valuation appointment.
- Keeping in touch with customers, with a view to bringing in lots for future sale by auction from previous valuations.
- Planning and organising our work to meet our agreed service standards.
- Effective communication and updating with the customer on progress.
- Arranging for typing of reports by the administration team.
- Ensuring reports meet our internal standards and styling.
- Working as part of a team, to develop and improve our reports and service as part of a continual improvement process.
- Respond to emails and telephone calls, ensuring responses are within set timeframes and are answered in a professional manner, including appropriate sign off and contact details for further correspondence.
- Record valuation outcomes and track which valuations result in consignments.
- Maintain accurate records of all valuation activity and customer follow-up.
- Provide regular reports on completed valuations and subsequent business generated.
- Provide a high level of administrative support to the Valuation and wider team as needed.
Adhering to Sworders internal policies and procedures:
- Ensure familiarity and compliance with Sworders staff handbook and comply with all Sworders internal policies and procedures, including but not limited to Data Protection and Privacy Policies, Anti-Money Laundering processes.
- Contribute to a continuous improvement culture by providing feedback on process and service improvements.
- Attend Sworders events where appropriate and availability allows.
- Provide support for Sworders initiatives and have a positive attitude to change and development.
Essential skills
- Highly organised with strong attention to detail.
- Excellent communication and interpersonal skills.
- Comfortable working in a client-facing role, handling sensitive or high-value transactions.
- Ability to manage multiple tasks and work to tight deadlines.
- Strong IT skills including use of CRM databases and Microsoft Office Suite.
- Experience in the art/auction industry is desirable but not essential.
- Understanding of how databases operate.
- Previous experience in a coordination or client service role, auction house or similar.
- Flexibility of hours at times of peak activity.
