Stock Control Administrator

Reports to: Saleroom Manager
Department: Logistics
Location: Cambridge Road, Stansted Mountfitchet, Essex, CM24 8GE

Salary: On application, subject to experience

3-month temporary contract with the possibility of extension

Outline summary

We are currently looking for a highly organised and proactive Stock Control Administrator to join our dynamic team. This is a client-facing role, so we are looking for someone who is not only detail-oriented and methodical but also confident in building positive relationships with clients. You will play a key part in managing our stock, following up on unsold items, and ensuring the smooth logistical operation of our auctions. Responsibilities

Undertake exercise to identify and home old stock:

  • Working with the Art Handlers and Valuers, to identify lots that are unsold or sold and uncollected, in each of our storage locations and in containers, and to chase their removal.
  • Agree next steps including time frames with all parties to keep storage time to a minimum

Chase and Contact Clients for Unsold Items:

  • Proactively reach out to clients regarding unsold items to ensure limited backlog and need for storage after auctions.
  • Follow up with clients to ensure prompt collection or alternative arrangements are made for unsold stock.
  • Maintain accurate and up-to-date records of client communications, item status and location on our Go database

Locate Items and Manage Stock Movement:

  • Assist in co-ordinating the efficient storage, location, and retrieval of items across the premises.
  • Ensure all stock is logged accurately in the system, with updated locations.
  • Arrange for the safe moving and organisation of items as required, ensuring they are stored in the correct and appropriate location to avoid damage or misplacement.

Inventory Management:

  • Conduct stock checks to maintain an accurate record of items in the warehouse and auction room.
  • Work closely with the reception to ensure smooth stock flow between different areas of the business and items go to charity as needed.
  • Assist with preparing items for future sales, including ensuring they are safely stored and ready for exhibition.

Client Interaction:

  • Provide high levels of customer service by assisting clients with any queries regarding their items.
  • Ensure that clients are updated on the status of their items and their auction results.

Health and Safety Compliance:

  • Ensure compliance with health and safety regulations when handling and moving items.
  • Work with the operations team to ensure safe storage and handling practices are followed at all times.
