Sword is a leading provider of business technology solutions within the Energy, Public and Finance Sectors, driving transformational change within our clients. We use proven technology, specialist teams and domain expertise to build solid technical foundations across platforms, data, and business applications. We have a passion for using technology to solve business problems, working in partnership with our clients to help in achieving their goals.

About the Role

As a Digital Workplace Business Analyst, you will work closely with our clients to understand how they collaborate, manage information, and use Microsoft 365 day to day. You will act as the bridge between business users and technical delivery teams, ensuring requirements are clearly understood, prioritised, and translated into practical SharePoint and Microsoft 365 solutions. You will be embedded in the business, spending time with stakeholders to understand processes, pain points, and opportunities for improvement. From shaping requirements and supporting data migration activities, to helping drive adoption of new ways of working, this role is central to ensuring digital workplace solutions genuinely meet user needs. This is a hands‑on, people‑focused role for someone who enjoys being close to the business, working through complexity, and helping organisations get real value from their digital platforms.

Responsibilities

  • Engage with business stakeholders to understand collaboration, document management, and information needs.
  • Elicit, document, and manage functional and non‑functional requirements for SharePoint and Microsoft 365 solutions.
  • Work closely with architects and technical teams to translate business requirements into deliverable solutions.
  • Support data preparation, cleansing, and migration activities into SharePoint Online.
  • Help define information structures, metadata, and document standards from a user and business perspective.
  • Support user acceptance testing, validating that solutions meet agreed requirements.
  • Assist with change and adoption activities, including user guidance, communications, and training support.
  • Act as a key point of contact for business users throughout delivery, ensuring alignment and managing expectations.
  • Contribute to continuous improvement initiatives, identifying opportunities to simplify processes and improve user experience.

Requirements

We’re looking for someone who enjoys working closely with the business and turning complex needs into clear, actionable requirements. You don’t need to be a technical architect, but you should be comfortable working alongside technical teams and understanding how SharePoint and Microsoft 365 are used in practice.

You’ll bring:

  • Experience working as a Business Analyst, Product Owner, or similar role in digital or technology‑enabled projects.
  • Exposure to SharePoint and/or Microsoft 365 in a business or delivery environment.
  • Strong requirements gathering, documentation, and stakeholder engagement skills.
  • Confidence working with both technical and non‑technical audiences.
  • Experience supporting data, reporting, or system implementation projects.
  • A practical, problem‑solving mindset with a focus on user needs and outcomes.

Benefits

At Sword, our core values and culture are based on caring about our people, investing in training and career development, and building inclusive teams where we are all encouraged to contribute to achieve success. We offer comprehensive benefits designed to support your professional development and enhance your overall quality of life. In addition to a Competitive Salary, here’s what you can expect as part of our benefits package:

  • Personalised Career Development: We create a development plan customised to your goals and aspirations, with a range of learning and development opportunities within a culture that encourages growth.
  • Flexible working: Flexible work arrangements to support your work‑life balance. We can’t promise to always be able to meet every request, however, are keen to discuss your individual preferences to make it work where we can.
  • A Fantastic Benefits Package: This includes generous annual leave allowance, enhanced family friendly benefits, pension scheme, access to private health, well‑being, and insurance schemes, an employee assistance programme, discounted cash plan and more.

At Sword we are dedicated to fostering a diverse and inclusive workplace and are proud to be an equal opportunities employer, ensuring that all applicants receive fair and equal consideration for employment, regardless of whether they meet every requirement. If you don’t tick all the boxes but feel you have some of the relevant skills and experience we’re looking for, please do consider applying and highlight your transferable skills and experience. We embrace diversity in all its forms, valuing individuals regardless of age, disability, gender identity or reassignment, marital or civil partner status, pregnancy or maternity status, race, colour, nationality, ethnic or national origin, religion or belief, sex, or sexual orientation.
