We are looking for a professional, outgoing and motivated individual to work as a Fleet Administrator in our Head Office based in Exeter.
Key Purpose of Role
This role involves working at our Head Office within a busy team, assisting in the repair process and aftersales support function. This could include progress chasing in relation to vehicles that are in our approved repair network, approving aftersales or buy back claims, grading vehicle damage and allocation within the repair network. Managing your workload in line with Company procedures, to achieve an efficient, effective and economic repair resolution process.
Main Duties
- Liaising with Repairers and updating internal systems
- Support Defleet Repair Assistant Manager in building relationships and maintaining good rapport with Repairers and customers on the network
- Working in line with the subcontract Bodyshop policy / procedure updates / service level agreements
- Reporting to line manager on Repairer performance
- Liaise with external Repairers and internal departments as necessary to ensure a smooth operation
- Support the Aftersales process, which could include authorising damage claims, dealing with buy back requests and raising purchase orders
- Grade vehicle damage from In-Life and Refurb vehicles, making commercial decisions on which vehicles need repair and allocating them within our network
- Producing & maintaining spreadsheets
- Dealing with telephone/email queries to resolve issues promptly
- General administration duties
- To undertake any additional duties at the request of your line manager, that are deemed to be within your competency levels
- To adhere to all Scot Group policies and procedures
- To undertake any training and development activities at the request of your line manager
- Keep safe and secure, all company assets
- Contribute fully as a team member, assisting others in their roles as requested by line manager.

- No prior experience necessary, full on the job training will be given
- Good IT skills
- Good communicator
