The Workshop Administrator provides essential administrative support to ensure the efficient day-to-day operation of the workshop. The role is responsible for maintaining accurate records, processing work orders and documentation, updating systems, and supporting the coordination of vehicle servicing, maintenance and repair activities. Working closely with technicians, suppliers, and management teams, the Workshop Administrator helps ensure workshop processes are organised, compliant and completed in a timely manner. The role plays a key part in supporting operational efficiency, maintaining accurate vehicle records and delivering a high standard of customer and internal service.
Accountabilities & Activities:
- Raise job cards as emailed through by customers and advise engineers of job numbers if required.
- Print job cards for workshop-based engineers.
- Update the VOR spreadsheet and diary daily.
- Close job cards when work is completed.
- Track Contract engineers' times.
- Raise PO numbers for various invoices.
- Liaise with parts and depot manager on any queries.
- Provide administrative support to depot manager.
- Ensure engineers' job sheets are handed in daily and have all details on including travel time, vehicle details, repair details.
- Update the running sheet with engineer's job card details ensuring overtime and travel time is correct.
- Update Data Connect with engineers' clockings if not on site and jobs completed that day.
- Update Cascade with engineers' times ensuring overtime matches in Cascade and the running sheet.
