Station Administrator – Centralised Support
Location: Glasgow Airport – 4 days in office, 1 day from home
Contract: Permanent, Full-Time
Reporting to: Regional Administration Manager
The Station Administrator at Swissport plays a crucial role in maintaining the efficiency and effectiveness of the administrative function within the organisation. Reporting into the Head of Recruitment, the Station Administrator – Centralised Support will be responsible for the following:
Responsibilities
- Pass Applications: Own the temporary and full pass applications for all new starters.
- Pass Rejections: Liaise with the relevant Vetting Team member to review and clear any pass rejections.
- Security Interview: Assist with completing and uploading the relevant security interview information into ID Gateway where required.
- Data Management: Ensure that all employee data on the relevant station dashboard relating to temporary passes and full passes, is up-to-date, and properly maintained.
- Recruitment Day Support: Support with recruitment hiring days with tasks such as printing documentation and assisting with right to work checks.
- Personnel File Creation: Create online personnel files and ensure that all relevant recruitment paperwork including; candidate application form, QA31/32, interview pro forma and right to work checks are uploaded into the personnel file with the relevant tracker updated.
Qualifications
- Organisational Skills: Ability to manage multiple tasks like pass applications, personnel file creation, and data management efficiently.
- Attention to Detail: Accuracy in managing sensitive data, pass applications, and recruitment paperwork is critical.
- Data Management: Competence in updating dashboards, maintaining personnel files, and working with online data management tools.
- Communication Skills: Strong written and verbal communication for liaising with the Vetting Team, handling recruitment day support, and interacting with stakeholders.
- IT Proficiency: Familiarity with Microsoft Office Suite (Word, Excel) or similar tools, particularly for document creation, tracking, and managing files.
- Problem-Solving: The ability to troubleshoot and resolve issues related to pass rejections or incomplete paperwork. 7. Time Management: Effective in prioritising tasks like recruitment support and pass processing to meet deadlines.
- Compliance Understanding.
- Knowledge of recruitment regulations, right to work checks, and security protocols.
