This is a 6 months temp. role- based remotely in the UK. The Travel & Expense (T&E) Manager is part of the Global Finance Transformation team and plays a key role in supporting the worldwide implementation of the Amex NEO Travel & Expense across Swissport entities. This role requires a solid understanding of the end-to-end T&E process, including the interactions between the Travel Agency, the Self-Booking Tool (SBT), and the Expense Management Tool, all integrated within the Amex NEO platform. The T&E Manager will work closely with local finance teams, HR, IT, and Swissport Business Services (SBS) to ensure a smooth rollout, compliance with local regulations, and effective system adoption across all countries. The position is based in Madrid and reports directly to the Global Finance Transformation Lead. The role also has direct reports in SBS Morocco, performing day‑to‑day activities on T&E management.

Your activities

  • System Implementation & Global Rollout: Support the implementation and deployment of the Amex NEO T&E across Swissport entities worldwide. Coordinate country-level rollouts, ensuring alignment with local business requirements and statutory regulations. Collect and document local needs for legislative, tax, and reporting purposes, including VAT, invoice data, and reimbursement rules. Act as liaison between Amex, the Travel Agency, and Swissport Business Services (SBS) for technical setup and process alignment. Oversee system configuration, testing, and user acceptance phases before go‑live.
  • Change Management & Adoption: Drive change management and ensure that all countries use the Amex NEO system effectively and in compliance with policy. Conduct training sessions, workshops, and communication activities to improve user awareness and adoption. Monitor system usage and process adherence through KPIs and user feedback. Identify best practices and share them across countries to ensure a consistent user experience.
  • Compliance & Local Adaptation: Ensure that T&E processes meet all local legal, fiscal, and internal control requirements. Gather and translate local needs into system or process requirements for configuration. Guarantee correct setup of data for tax purposes, including receipts, per diems, and accounting validation. Support internal and external audits related to travel and expense processes.
  • Team Management & Collaboration: Manage the T&E Management Analysts team located in SBS Morocco, ensuring operational excellence and alignment with transformation objectives. Collaborate with Global Finance, HR, IT, and Local Finance teams to maintain process consistency and system stability. Act as a key interface between SBS operations and the Global Finance Transformation function.
  • Reporting & Continuous Improvement: Monitor the progress of rollouts and produce reports on implementation status, issues, and resolutions. Define, review, and enhance T&E reports and dashboards, including spend tracking, reimbursement timeliness, and compliance metrics. Identify opportunities for process optimization and propose enhancements to improve automation, efficiency, and control.

Your profile

  • University degree in Finance, Business Administration, Engineering, or a related field.
  • Professional-level proficiency in English is required, other European languages are an asset.
  • Proven expertise in Travel & Expense Management, and with expense management tools such as AMEX NEO, SAP Concur, or other.
  • Experience with collecting country requirements in a structured manner.
  • Compliance, and audit requirements related to travel expenses is a plus.
  • Strong understanding of end-to-end T&E processes, including integrations with travel agencies, booking systems, and ERP tools.
  • Experience leading multi-country rollouts and managing cross-functional stakeholder networks.
  • Excellent communication and project management skills, with a structured and proactive approach.
  • Hands‑on, analytical mindset with the ability to work across time zones and functions.
  • Willingness to travel occasionally for deployment and stakeholder engagement.
  • Experience in driving process improvement initiatives and strong analytical skills, with the ability to leverage data insights for decision‑making.
