Overview
This role is the first point of contact for patients, families and other health care professionals wishing to access the Swindon Community Health Services, community Nursing, wheelchairs & Stores. Responsibilities include directing calls to the most appropriate services, making up-to-date referrals, and ensuring that all relevant information is collected and recorded to provide an efficient service. You will handle telephone calls from patients, patients\’ relatives, GPs, carers and other health care professionals and ensure that relevant routine medical and personal information is collected and recorded correctly. You must be able to assess the information provided by the caller and direct the call as appropriate in a timely manner, with attention to priority and urgency. You will need to be supportive and deal with sensitive and difficult calls, identifying distressed callers, and demonstrate understanding and empathy while maintaining confidentiality and Data Protection policies at all times. You may be required to cover administrative duties at different service sites when cover is needed and should have good IT experience. You will also be responsible for processing purchase orders for equipment, repairs, deliveries and collection of equipment, processing invoices and checking and collating timesheets.

- Handle telephone calls from patients, relatives, GPs, carers and other professionals, ensuring accurate recording of routine medical and personal information.
- Assess information provided by callers and direct the call in a timely manner, with awareness of priority and urgency.
- Be supportive, manage sensitive and difficult calls, identify distressed callers, and demonstrate empathy while maintaining confidentiality and Data Protection compliance.
- Cover administrative duties at different service sites as required and demonstrate good IT skills.
- Process purchase orders for equipment, repairs, deliveries and collection of equipment.
- Process invoices and check and collate timesheets.
Qualifications
- RQF level 3 or equivalent or working towards Level 3 of RQF or compensatory experience in care business support
- Educated to GCSE level or equivalent
- Some experience of working in a busy office environment
- Experience of working in an administrative/financial role using a range of IT packages
- Fluent in English (as a requirement of Part 7 of the Immigration Act for the effective performance of a customer-facing role)
- Subject to an enhanced Disclosure and Barring Service Check
