Sales Order Administrator
Overview
Team Swift is recruiting for a Sales Order Administrator to join our Sales Team. The role is ideal for a highly organised professional with strong attention to detail, who can work with agility and professionalism in a fast‑paced and dynamic environment alongside Account Managers, Sales Development Managers and our Tourer and Motorhome dealer network. The primary responsibility is to provide holistic support to ensure effective management of sales order coordination and to deliver a first‑class experience to our dealer network, in line with Swift Group’s brand values.
Responsibilities
- Accurately input sales orders and cross‑check information to verify product specifications.
- Process orders received via email and other channels.
- Process dealer swap orders and raise credit notes for dealer swaps and order changes.
- Process order amendments, including any by FOAs, and raise firm order amendments within guidelines.
- Ensure firm‑order changes are passed to Product Administration.
- Amend, confirm and allocate stock orders within a 3‑week tentative period.
- Process motorhome chassis orders and check for auto‑cabs.
- Verify chassis numbers allocated by production administration.
- Review batches moving to firm to check for any amendments.
- Process/update and email dealer special confirmations and update analysis.
- Coordinate sales‑order dealer promotions and maintain accurate records.
- Support colleagues by covering for other team members during holidays and absences, even outside the core team when required.
- Adhere to company policies, procedures, and health and safety responsibilities.
Qualifications, Skills and Experience
- Excellent numeracy skills.
- Highly organised with strong coordination, organisation and prioritisation skills.
- Willingness and ability to work away from home when required.
- Pro‑active, able to work well under pressure and achieve deadlines.
- Maintain a calm, flexible approach and positive attitude under pressure.
- High level of accuracy and strong attention to detail.
- Flexible, adaptable, enthusiastic and motivated.
- Strong verbal and written communication skills.
- Experience working with D365 is desirable.
