Due to a re-organisation of the Estates Department, there is a vacancy for a Receptionist/Cashier. 37.5 hours per week. Plus 27 days holiday, plus bank holidays and voluntary pension scheme. The role is Monday - Friday with opportunities for overtime and weekend working. Start and finishing times 8.00 am to 4.00 pm.
The SWFTCS Estates Department provides a comprehensive maintenance repair and installation service of building, grounds, engineering services and associated equipment throughout the SWFT Trust.
Main duties of the job:- To provide a professional receptionist/help-desk service and be the main point of contact for visitors to the department.
- Deal with enquiries on all levels from staff and visitors.
- Provide clerical support to the Estates Department, liaising with Company and Trust staff, external contractors and suppliers.
- The safe keeping of all cash, cheques and valuables/lost property through timely banking, cash collections from hospital areas, reimbursement of petty cash and patient travel and administration fees.
Working for our organisation: SWFT Clinical Services is a wholly owned subsidiary of the South Warwickshire University NHS Foundation Trust (SWFT). The company provides a number of services such as outpatient pharmacy facilities at Warwick, Stratford upon Avon, George Eliot, University Hospital of Coventry and Warwickshire and St Cross (Rugby) hospitals; estates and facilities management at Warwick, Stratford upon Avon and Ellen Badger hospitals, Acorn House and Lillington Health Hub; private patient service and consultancy services to NHS Trusts.
Subject to the Company and individual’s performance, an annual discretionary bonus will be awarded. There is automatic enrolment to the Company pension scheme, with the Company contributing 5%. Detailed job description and main responsibilities:- Provide the required support to comply with the Trust’s Management of Contractors on Site Policy, ensuring that the relevant signing in form has been completed by visitors/contractors/managers.
- Ensure all relevant documentation is issued and inform ward/departments that visitor/contractor is on site.
- Ensure contractors on site information board is kept up to date.
- Receive telephone maintenance requests and deal with such calls promptly and in a professional manner.
- Ensure all call information is inputted into the maintenance breakdown database and re-direct calls as appropriate to other individuals or departments.
- Ensure that relevant estates staff are informed of urgent requests promptly via mobile phones.
- Provide comprehensive administration support to the Trust’s ID badge database.
- Deal efficiently with the department’s incoming post and redirect as appropriate.
- Responsible for redirecting post that has been returned to the Trust ensuring confidentiality is observed at all times.
- Provide efficient and effective administrative support to the Estates Department.
- The post holder is responsible for ensuring all cash, cheques, and valuables are recorded on the appropriate documentation according to written procedures and filed in an orderly manner.
- The post holder has responsibility for ensuring sufficient cash is available to meet the weekly expenditure requirements in the cashiers’ office informing the bank of these requirements.
- The post holder is responsible for the reconciliation of cash and cheques.
- The post holder would be responsible to match income received in Trust bank to invoices issued to various organisations or individuals.
- The post holder is responsible for reimbursing claims for petty cash expenses, to the relevant staff and process the items immediately onto the Trust financial system.
- The post holder is responsible for the day-to-day administration of the payment of expenses to patients entitled to financial assistance with travel expenses to visit the hospital.
- The post holder is to provide general advice, both financial and non-financial, to patients and visitors who present themselves at the cashiers’ office.
- To ensure that all internal and external audit recommendations are appropriately implemented.
- To ensure that all duties are carried out to the highest possible standard, and in accordance with current quality initiatives within the area of work and the Trust Equal Opportunities Policy.
- Any other duties commensurate with the grade and in line with the requirement of the post.
- Maths & English O level / GCSE passes or equivalent.
- Basic accounting knowledge gained through experience or through study.
- Intermediate or NVQ level 3 or equivalent experience.
- Experience of working in the Finance Department.
- Experience in any role requiring face-to-face contact with customers where a high degree of interpersonal skills are required.
- Knowledge of basic accounting principles.
- Ability to design and format spreadsheets on a regular basis for specific purposes.
- Ability to input and manipulate data accurately into databases and spreadsheets.
- Requires standard keyboard and IT skills e.g. ability to use databases, Word financial ledger and budget-setting software.
- Good mathematical skills to reconcile cash entries.
- Able to work with little direct supervision.
- The ability to organise their own daily workload subject to external demands.
- Able to work on own initiative and as part of a team.
- Ability to store source documentation in accordance with departmental procedures, ensuring that the stored material is in good condition and readily retrievable to resolve any queries that may arise.
- Excellent communication skills required as this post requires direct communication with patients, carers, hospital managers, and external organisations.
- Confidence and experience in dealing and handling confrontation.
- The post holder will maintain confidentiality where appropriate both within the Trust and externally, including information regarding patients.
- Presentation skills e.g. finance training for finance and non-finance managers.
- Highly organised approach and able to prioritise own work to meet tight deadlines and targets e.g. banking deadlines.
- Able to deal with frequent interruptions and reschedule tasks accordingly.
- To skilfully organise the physical storage of documents, valuables.
- A friendly manner as post holder deals with patients face to face.
